ProviderOne claims submission deadline changes: Christmas & New Year
Due to the observance of the Christmas and New Year holidays, ProviderOne claims submission deadlines have been moved up to ensure providers receive payment and Remittance Advices (RAs) on Friday of each impacted week:
Week of December. 22, 2025:
- Claim Submission Deadline: 5 p.m. Monday, December 22, 2025
- Payment Date & RAs available: Friday, December 26, 2025 (no change)

Note: The ProviderOne system will be unavailable from 5:00 a.m. Saturday, December 20 until 7 a.m. Sunday, December 21 (26 hours) due to scheduled maintenance.
Week of December 29, 2025:
- Claim Submission Deadline: 5 p.m. Monday, December 29, 2025
- Payment Date & RAs available: Friday, January 2, 2025 (no change)

Changes to contacting HCA Provider Enrollment
Reminder, the Health Care Authority (HCA) is closing the Provider Enrollment inbox (providerenrollment@hca.wa.gov). Effective January 1, 2026 Provider Enrollment support requests (i.e., signing up for EFT/direct deposit, updating ProviderOne account information, etc.) must be submitted via the Secure Access Washington (SAW) HCA support portal.
When is the inbox closing? No new messages will be accepted by the Provider Enrollment inbox after December 31, 2025. Provider Enrollment will continue to respond to open requests until they are resolved. Messages will be retained in accordance with the Washington State Record Retention Schedule.
Note: Social Services Providers may still contact Provider Enrollment via phone at 1-800-562-3022, ext. 16137 on Tuesdays & Thursdays and may contact HCA's Medical Assistance Customer Service Center (MACSC) Monday-Friday for assistance related to claiming, payments, and general ProviderOne questions/issues.
ProviderOne issue fixed: Signing up for EFT
Over the past few months, some providers encountered issues when trying to sign up for electronic funds transfer-EFT (Direct Deposit) in ProviderOne. The system would show the EFT status as 'Failed' when it should have been 'In-Process'. As of 12/5/2025 the Health Care Authority (HCA) has resolved this issue and the system should now be working properly. If you experienced issues with signing up for EFT over the past few months, please login to your ProviderOne account and attempt to sign up for EFT again. If you continue to encounter issues, please contact HCA's Office of Provider Enrollment via phone at 1-800-562-3022 ext. 16137 (phones open Tues & Thurs) or online.

EVV claim elements & updated EVV Systems Requirements Guide
Reminder, effective January 2026, ProviderOne claims for personal care services (T1019) and respite care services (T1005) missing specific Electronic Visit Verification (EVV) elements will deny. To support a smooth transition, DSHS will implement these changes in phases between January and July 2026.
- Effective January 1, 2026, claims without a social services servicing only provider (SSSOP) ID will deny.
