ProviderOne maintenance & claims submission deadline changes
The ProviderOne system will be unavailable this weekend from 5 a.m. Saturday, Dec. 21 until 9 a.m. Sunday, Dec. 22 (28 hours) due to scheduled maintenance.
In addition, due to the observance of Christmas and New Years holidays, ProviderOne claims submission deadlines have been moved up to ensure that providers are able to receive payment and Remittance Advices (RAs) on Friday of each impacted week.

Week of December 23: Submit claims by 5 p.m. on Monday, Dec. 23 for payment on Friday, Dec. 27.

Week of December 30: Submit claims by 5 p.m. on Monday, Dec. 30 for payment on Friday, Jan. 3.

Duplicate claims edit to restart January 1, 2025
Effective January 1 2025, ProviderOne will deny claims that are identified as possible duplicates. This means that if you submit more than one claim for the same client, same service code, and same date of service, the claim will deny.
Example: You submit a claim for date of service 11/1/2024-11/1/2024 and the claim pays. The following week, you realize you claimed and were paid for 30 units but you should have been paid for 40 units. You submit a new claim for 11/1/24-11/1/24 with the correct # of units. The claim denies as a possible duplicate. Instead of submitting a new claim for the additional units, you should have adjusted the original paid claim to reflect the correct units.
If you have questions about what a possible duplicate might look like for your service type, or if you are unsure how to resolve this error if it appears, you can email p1_escalation@dshs.wa.gov.
Note: It is important that you continue to review your Remittance Advices (RA) to ensure you have been paid the correct amounts and units for each date of service. New RAs are available in ProviderOne each Friday.

Rate changes effective January 1, 2025
To reflect the 2025 annual update to the Income & Resource Standards for client participation and in accordance with the FY2025 Supplemental Budget passed by the Legislature earlier this year, there will be some rate changes effective 1/1/2025.

How will this impact my business and my clients?
When a change is made to an authorization (i.e., a rate change has occurred), you will receive a ProviderOne notification alerting you of a change. For step-by-step directions on how to view your clients' authorizations and the associated rates, as well as how to view the history of a particular authorization to see what has changed, please review the Viewing Authorization List billing guide.
If you have authorizations impacted by these rate changes but the new rate has not been updated on your ProviderOne authorization list, please contact your client's authorizing case manager before you submit claims for services delivered in January.
Tax documents
1099 tax forms for 2024 are sent via U.S. Mail and will be mailed by January 31, 2025. If you are a Social Services Provider who receives payment through ProviderOne and have not received your 1099 tax form by mid-February, please email the appropriate contact:
When emailing, please provide your name, the name of your business as listed on your tax return, your tax ID/ EIN or your Provider One ID, and a brief description of what you need assistance with.
