Thanks to the collective efforts of Washington's Childhood Vaccine Program (CVP) providers and partners, vaccine returns and waste decreased by 30% in 2025–2026, bringing us close to 2023–2024 levels! This progress reflects a shared commitment to vaccine stewardship, and we thank you for your efforts. While we've made significant strides, vaccine returns still represent millions of dollars in lost resources. Let's keep the momentum going through thoughtful ordering and inventory management to further reduce returns and protect Washington’s universal vaccine purchase program!
You may remember that in our respiratory plan this year we indicated that at the start of the season we will approve up to a 45-day supply based on your clinic's historical usage last year and considering the average over three years. We received your feedback that ordering more up front was important to you! Please be aware that ordering of respiratory products will move to approvals for only a 30-day supply beginning December 15th to avoid excess inventory in the field as the season progresses. Please plan your orders accordingly and place an order up to 45-day supply now while you are able, and build sufficient supply before holiday shipping goes into effect.
Introducing Vaccine Ordering Essentials: New Tools for Accurate, Timely Orders
This webinar introduces Vaccine Ordering Essentials: Six Steps to Success, a new e-learn, and its companion job aid, the Vaccine Ordering Guide. Together, these resources walk providers through the ordering process and offer a quick reference for placing accurate, timely orders. The session also covers the latest respiratory season updates, including current guidance and what providers should know when ordering respiratory vaccines in the months ahead.
Please ensure you are planning accordingly to receive your vaccine deliveries before you run out of vaccines. Keep in mind that McKesson and manufacturers have up to 14 days to get your vaccine to your clinic after the order is in approved status in the IIS. It is also important to have all your accountability reports up to date before placing your orders so approvals can happen smoothly and quickly. Please plan accordingly for the limited holiday shipping coming soon. See the holiday shipping calendar for more details.
As a participant in the Childhood Vaccine Program, it is vital to ensure you are receiving communications from the program including messages related to vaccine orders, missing accountability reports, and Vaccine Blurbs newsletters. It is important to receive, read, and respond as needed to the messages sent. Your clinic may receive messages from the program in a variety of ways. Below are a few to pay attention to:
Vaccine Blurbs: currently sent weekly to all contacts in the provider agreement and other partners as interested. These are also posted to our webpage here and links to this page are shared in our email signatures as well.
REDCap auto email reminders & follow-ups: sent directly to the primary and backup coordinator for accountability items including temperature logs, excursion follow up, vaccine loss surveys, and doses outside the age range surveys. Please ensure you add our email address: WAChildhoodVaccines@doh.wa.gov to your safe sender list and make sure these are not going to junk folders.
IIS Messages & Alerts: sent to the primary vaccine coordinator listed in the provider agreement. Some are also accessible in the "Messages" menu of the IIS when logged in. These messages typically are sent when there are items needed to approve an order. Please be sure to add this email address to your safe sender list as well: DONOTREPLY-WAIIS@doh.wa.gov. Here is a guide on how you can access these messages too.
Please fill out the Respiratory Vaccine Provider Feedback Form to give your input into how the 2026–2027 respiratory season is progressing. It will remain available throughout respiratory season and can be filled out multiple times as the season unfolds.
