Starting in April 2026, the Childhood and Adult Vaccine Programs will transition to processing the NEW Vaccine Loss Survey (VLS) in REDCap to improve efficiency.
The VLS will replace the paper format of the Vaccine Loss Log, which is currently submitted via email. Moving forward, if you report a monthly vaccine loss of $2500 or more in the WAIIS, you’ll receive a REDCap survey link from us by email.
Please review the important dates below outlining steps in the transition to the new process:
- The first Vaccine Loss Surveys will be sent to providers with $2500+ in monthly vaccine loss on Wednesday, April 15.
- The April CVP Training Series: Process Update, NEW Vaccine Loss Survey will follow on Thursday, April 16 at noon, to support providers with this transition. AVP providers are encouraged to attend this training to learn more about this new process.
- After the initial launch, providers with $2500+ in monthly vaccine loss will get Vaccine Loss Surveys on the first Wednesday of each month, beginning on May 6.
Important: Continue to post the Vaccine Loss Log near your storage units to track monthly waste, and retain these forms for three years. Submitting the log by email is no longer required.
Please note that the shelf life of the COVID-19 vaccine that is being sent to providers is shorter than it was at the start of the season and will continue to decrease as we near the end of the season.
To effectively manage this reduction in shelf life, the CDC recommends that providers order smaller quantities of the vaccine - enough for 3 to 4 weeks of usage - and place more frequent orders if necessary. Before placing an order, always check the Vaccine Advertisements for an available transfer in your area.
