Starting in April 2026, the Childhood and Adult Vaccine Programs will transition to processing the NEW Vaccine Loss Survey (VLS) in REDCap to improve efficiency.
The VLS will replace the paper format of the Vaccine Loss Log, which is currently submitted via email. Moving forward, if you report a monthly vaccine loss of $2500 or more in the WAIIS, you’ll receive a REDCap survey link from us by email.
Please review the important dates below outlining steps in the transition to the new process:
-
The first Vaccine Loss Surveys will be sent to providers with $2500+ in monthly vaccine loss on Wednesday, April 15.
-
The April CVP Training Series: Process Update, NEW Vaccine Loss Survey will follow on Thursday, April 16 at noon, to support providers with this transition.
-
After the initial launch, providers with $2500+ in monthly vaccine loss will get Vaccine Loss Surveys on the first Wednesday of each month, beginning on May 6.
Important: Continue to post the Vaccine Loss Log near your storage units to track monthly waste, and retain these forms for three years. Submitting the log by email is no longer required.
April is here and CVP Provider Agreement renewals are in full swing! If you haven't completed your renewal yet, now is the time. Some 2025 agreements expired March 31 and all remaining agreements will expire April 30. Providers without an approved agreement will not be able to place orders.
After submitting, be sure to check that the agreement is approved and has not been returned for edits. If your agreement has been returned, check the comments displayed at the top of the returned agreement. These notes explain what needs to be corrected before resubmitting.
Provider Agreement Renewal Resources
Once your 2026 agreement is approved, please do not create a new agreement in the IIS unless you need to update the signatory, shipping address, or facility name. To request changes, email WAChildhoodVaccines@doh.wa.gov.
As previously shared, the Washington State Department of Health (DOH) extended the RSV monoclonal antibody administration period for infants through April 30, 2026, due to a delayed and prolonged RSV season with continued elevated activity statewide. You should continue to assess and immunize eligible infants with RSV monoclonal antibodies (nirsevimab or clesrovimab) through April 30, 2026.
Ordering of RSV product is limited to birthing hospitals and Tribal clinics. These providers can place orders in the IIS until April 15, 2026 and should only order what they can use by April 30, 2026.
All other providers in need of product are encouraged to check the IIS Vaccine Advertisements for a transfer opportunity. If you have excess doses of these vaccines, please advertise them in the IIS.
Remaining inventory of nirsevimab is viable until its expiration date. Product should continue to be safely stored refrigerated between 36°F to 46°F (2°C to 8°C) and can be used when administration resumes next season - do not discard or attempt to return unexpired RSV products. Expired RSV products should be returned using the Online Returns Process like all other expired vaccine products.
For questions about RSV immunization product ordering or dose transfers, contact us at WAChildhoodVaccines@doh.wa.gov.
Please note that the shelf life of the COVID-19 vaccine that is being sent to providers is shorter than it was at the start of the season and will continue to decrease as we near the end of the season.
To effectively manage this reduction in shelf life, the CDC recommends that providers order smaller quantities of the vaccine - enough for 3 to 4 weeks of usage - and place more frequent orders if necessary. Before placing an order, always check the Vaccine Advertisements for an available transfer in your area.
Have you posted vaccines for transfer on the IIS Vaccine Advertisements page? Don't forget to check your post and make sure the advertised doses are still available to transfer.
Once a transfer is complete and received by another facility, the transferred doses will be removed from the Vaccine Advertisements page.
You need to manually update or remove advertisements for vaccines that are no longer available for transfer, including those that have expired.
