Holiday Shipping Calendar

With the holidays quickly approaching, please be mindful of shipping delays, limited or no shipping days, and plan your vaccine orders accordingly.  December 9th is the last day you can submit a vaccine order to receive the delivery before January. Please note that there will be no vaccine deliveries made during the week of Christmas and New Year's. You can place an order off your typical schedule if needed. Please ensure your accountability reports are up to date prior to placing orders to ensure expedited processing. It's also a good idea to update your shipping hours in your provider agreement if needed. Check out the holiday shipping calendar on our website for more information.

Reminder: DOH Offices will be closed Thursday, November 27th and Friday, November 28th.

McKesson Shipping Box Reminder

There has been an increase in attempted returns of non-returnable coolers to the distribution center. This is creating confusion at the distribution center and leading to provider order rejections.

You will now see a new instruction flyer included in your shipments. As shown in the flyer below, EcoFlex coolers must be returned while KoolTemp Coolers are not returnable and should be disposed of.

Please reach out to WAChildhoodVaccine@doh.wa.gov with any questions.

WVA Quick Tip: Avoid Common Errors in DBA Submissions

As the WVA is completing their provider reverification project, they have seen an uptick in errors on Vaccine Dosage-Based Assessment (DBA) submissions—particularly in a few key fields. To help your vaccine DBAs process smoothly, please double-check the following details before submitting:

  1. CMS-1500 Your vaccine DBA should replicate your office visit/administration claim except for these two areas:
    • Box 25 – Federal Tax ID Number: 27-2251833
    • Box 33 – Billing Provider Info & Phone: Washington Vaccine Association PO Box 94002 Seattle, WA 98124-9402 (Use your billing office phone number in this field.)
    • Box 33a – NPI: 1699092718
    • Box 33b – Taxonomy Code: 251K00000X
  1. 837 Professional (Electronic) Format For electronic vaccine DBA submissions, clearinghouses require both WVA addresses (physical and mailing) in order to pass their edits (Box 33 on CMS-1500):
    • Billing Provider Address (Loop 2010AA): 1700 Seventh Ave, Suite 1810 Seattle, WA 98101-1397
    • Pay-To Provider Address (Loop 2010AB): PO Box 94002 Seattle, WA 98124-9402

Including these details helps ensure your vaccine DBAs are accepted the first time and prevents processing delays. Thank you for taking a moment to review your submissions—your accuracy helps keep the vaccine program running smoothly!

Please reach out to info@wavaccine.org or 1-888-928-2224 with any questions.

Are you getting the most out of your Moderna COVID-19 vaccine? McKesson ships Moderna COVID vaccines under frozen conditions and the vaccine is viable until its posted expiration date as long as it remains frozen. Once the vaccine is moved to the refrigerator, it must be used within 60 days and cannot be refrozen. Best practice to get the most out of your Moderna vaccines is to store in the freezer and thaw doses in the refrigerator as needed. Don't forget to label your Moderna COVID vaccines with the Beyond Use Date (BUD) when moving to the refrigerator! The BUD replaces the manufacturer's expiration date and should be noted on the label along with the initials of the person making the calculation.

Check out the 2025-2026 COVID-19 Vaccines At-A-Glance guide for more on this season's COVID vaccines and storage conditions.
