We are making some changes to our AVP vaccine request process, so please read the following information carefully.
Our next AVP vaccine request opportunity for non-COVID/non-flu vaccines will open next week on Friday February 16th and will remain open for 3 weeks. The last day to place an AVP vaccine request for this order request cycle will be on Friday March 8th.
AVP vaccine requests will now take place in the IIS (in place of the survey used in previous years). If you do not have familiarity with placing a vaccine request or receiving vaccines in the IIS, you can review this AVP Vaccine Ordering and Receiving Guide for step by step instructions.
In order to receive an AVP order set in the IIS, your facility’s provider agreement and accountability must be up to date. This includes the submission of up-to-date inventory in the IIS, and up-to-date temperature log submission in Redcap. If your facility’s accountability is up to date, you will have an AVP order set available to select in the IIS containing the vaccines prioritized on your AVP provider agreement starting on February 16th. If your facility is not up to date on accountability, you will not see an order set in the IIS. You can become compliant at any point before orders close on March 8th to have an order set added, but if you intend to place a vaccine request please don’t wait since we need time to approve temperature log submissions and add order sets accordingly. The next AVP order request opportunity will be in September, so you may request a 6-month supply of vaccine during this request window. When placing your request, please keep in mind that AVP vaccines are a limited resource in high demand. Waste should be kept below 5%, so please order intentionally with regards to what your facility can administer. These non-COVID vaccines can only be administered to uninsured adults 19+ years of age. Please keep in mind that Medicare/ Medicaid are considered insurance and thus do not qualify for AVP. This is a vaccine request, not an order, and requests may be reduced to stay within the AVP’s available budget.

When you upload your monthly temperature logs in REDCap, please be sure to only include the temperature log for each individual unit. If you have your temperature logs scanned as a single file (i.e., fridge and freezer combined), you will need to separate them so they can be uploaded to the correct storage unit. This allows your Provider Support Specialist to quickly review the temperature logs for each individual unit.
Vaccines remain covered, free of cost to individuals. The COVID-19 Vaccine Education and Equity Project has created a two-page handout that answers COVID-19 vaccine coverage questions. The document explains coverage of COVID-19 vaccine costs, providing brief healthcare coverage requirements for adults, children, and people enrolled in Medicaid, Medicare, TRICARE, and private insurance.
We are aware of a recent WAIIS decrementing issue that is preventing vaccine doses from automatically subtracting from inventory. This issue occurs when immunization events are reported electronically from your electronic health record (EHR) system. We have alerted our IIS technology vendor of this critical issue. We understand the potential impacts on monthly accountability reporting for those providers who participate in our state childhood and adult vaccine programs. We will communicate updates through various distribution lists, including the IIS Data Exchange list and the IIS Newsletter, AVP Newsletter, and Vaccine Blurbs and will provide guidance on how to reconcile your IIS inventory once a resolution is in place.
In addition, the Patient Detail Report in the IIS is experiencing some issues as well and you may find that it doesn't generate when selecting "by service", however generating the report "by ownership" may be an effective workaround until this bug is fixed.
We know these issues present challenges for many providers. We appreciate your patience and understanding as we work through this issue with our vendor.
A Single Sign-On (SSO) process will be implemented in the first quarter of 2024 to improve accessibility and ease of login to the Immunization Information System (IIS). IIS users will no longer be required to manually login to the IIS each time they access the system. IIS users will need to establish a Single Sign-On (SSO) link initially between SecureAccess Washington (SAW) and their IIS user account. Instructions can be found here.
