This is just a reminder that it's time to renew your clinic's Provider Agreement for the Childhood Vaccine Program. Please visit the Renewal Schedule to see when your clinic is due to renew and use the Provider Agreement Renewal Guide to help walk you through renewing your agreement in the IIS. Without an approved agreement in the IIS, your clinic will not be able to order vaccine, so don't delay and complete yours today!
Please join us on Thursday March 16th for another session in the Childhood Vaccine Program (CVP) Training Series. This session will cover how to screen for patient eligibility status, how to bill according to program billing guidelines, and how to submit the required dosage-based assessment (DBA) to private/commercial insurers. We anticipate this will be a longer training lasting from 12-1pm due to the complexity of content and allowing ample time for Q&A. If you are unable to participate in this training or can only join for part of it, the recording and training content will be posted on the CVP training webpage.

The Washington State Immunization Information System (IIS) is experiencing a bug with the ordering schedule that is viewable on the create order page. The ordering schedule may display incorrect order frequency or timing and may request an exception reason for ordering off schedule when placing an order. The ordering schedule may also be missing completely or have missing elements in the IIS. If you experience this issue, please just continue placing your order. You may have to enter an exception reason, but the IIS will still allow you to place an order.
If you notice your frozen shipment has arrived after the "Product Must Be Received On or By Date", it is best to email Merck at cdc.support@merck.com. If the package wasn’t delivered by the date indicated on the packing slip, they will likely honor a direct replacement shipment.
If the shipment has been damaged or the shipping insert shows it HAS NOT been delivered within the proper timeframe, you should immediately contact Merck; they will determine if they will send a direct replacement or if you will need to process a return through the IIS. Please note the date and time the package was received.
- Varicella-containing vaccines come with a shipping insert indicating the allowable shipping time. Check the shipment date on the packing slip to determine how long the vaccines were in transit.
- Label the vaccine “Do Not Use” and store under proper conditions.
- Email Merck immediately at cdc.support@merck.com
Have the following information ready:
- Packing slip for “Product Must Be Received On or By” date
- Purchase order number (located on the packing slip).
Merck will help guide you through either the return or replacement process. If the issue is a replacement, they will send the new vaccine directly to you as well as a return shipping label for the spoiled vaccine.
