Starting April 1, the Childhood Vaccine Program (CVP) will begin accepting monthly temperature summary reports from Digital Data Loggers (DDL) and Temperature Monitoring Systems (TMS), upon program approval. We are making this change to align with COVID vaccine reporting options, while still meeting the CDC’s requirements for the Vaccines for Children program.
How do we get approval to begin submitting DDL/TMS reports?
To be considered for approval, DDL and TMS summary reports must contain the following as required by CDC’s Vaccines for Children Program:
- Min/max temperature check once per day
- Time and date of reading
- Name or initials of staff member who recorded the reading(manual audit)
Providers wishing to obtain approval must submit a copy of their report to the program at WAChildhoodVaccines@doh.wa.gov for review.
What does an approved report look like?
TMS Sample #1-Meets Reporting Criteria
TMS Sample #2- Meets Reporting Criteria
Once approved, how do we submit our reports?
Reports must be approved by and submitted to the COVID program and the Childhood Vaccine Program separately. COVID approved reports won’t be accepted by the Childhood Vaccine Program unless they meet all the above criteria. COVID monthly reports should be uploaded via REDCap, while the Childhood Vaccine Program reports can be submitted via fax at 360-236-3811 or email at WAChildhoodVaccines@DOH.WA.GOV.
Which units meet the reporting criteria?
We are reviewing and approving all reports on a case-by-case basis. All systems have different software and reporting capabilities. If you are unsure if your unit meets the criteria, please contact the device/software manufacturer or your IT department.
What if we can’t meet the new reporting criteria?
Providers whose DDL or TMS reports do not meet the reporting requirements listed above must continue to submit monthly paper temperature logs.
Please contact WAChildhoodVaccines@DOH.WA.GOV with any questions.
