The IIS Help Desk will be unavailable on January 21st. They will return messages and emails as soon as possible when they reopen.

Starting in January, the IIS will undergo weekly maintenance from 7-10 pm on Tuesday evenings. The IIS will be unavailable and electronic data (HL7 messages) will not be accepted while the system is down.

Patient Eligibility Status Screening Tools for Providers

Providers participating in the Washington State Childhood Vaccine Program are required to screen and document patient eligibility status for every vaccine administered to patients under 19. Several updated guides are available to assist providers with identifying and documenting the most appropriate eligibility status. 

Eligibility for Publicly Funded Vaccines: A Guide for Providers

This guide lists patient eligibility statuses along with the correct electronic health record (EHR) and IIS codes for children and adults receiving publicly supplied vaccines. This document also includes references about billing for vaccine and administration fees and provides guidance on how clinics can use ProviderOne to identify the eligibility status of Apple Health children.

Providers should have the ability to document all eligibility statuses covered in this guide and ensure the correct codes are available in your EHR (if your clinic has an interface). The submission of incorrect codes may result in discrepancies in your clinic's IIS inventory. For example: V01 - Not VFC Eligible should not be used for children less than 19 and V25 should replace V10 as the code to document privately-insured children. Please share this guide with clinic, billing, IT staff, and EHR vendors.

2019 Immunize WA Nominations Open

The 2019 Immunize WA Provider Recognition Program is underway and clinics are encouraged to nominate themselves for recognition by February 17th.

All nominees achieving immunization rates of 70% or higher qualify for an award. Clinics will be recognized in April during National Infant Immunization Week.

Announcing WA's HPV Vaccine is Cancer Prevention Champion

The Washington State Department of Health is proud to announce that Polyclinic Pediatrics, Madison Center is WA's 2018 HPV Is Cancer Prevention Champion. The Centers for Disease Control and Prevention, the Association of American Cancer Institutes, and the American Cancer Society partnered to create this award to recognize clinicians, practices, and health systems that go above and beyond to foster HPV vaccination among adolescents in their community. This year, the program is honoring champions from 32 states.

Polyclinic Pediatrics and Dr. Sherri Zorn have implemented strategies that improved HPV vaccination rates, including increasing visibility of HPV vaccine education materials, offering proactive recommendations across the practice for all eligible patients, and sending reminders to patients who are due or overdue for HPV vaccine and well child exams. Not only has this work led to success at their practice, but Dr. Zorn has shared HPV vaccine advocacy and best practices across the state.

Congratulations Polyclinic Pediatrics on this well-deserved award! We also would like to thank and recognize our other nominees, Sea Mar Community Health Centers and International Community Health Services for their outstanding work. Read the champion’s profile on the CDC’s website to learn more. Look for the 2019 nomination announcement to promote innovative HPV vaccination work in your clinic or community this summer.

CDC HPV Vaccination Report for Washington

CDC recently shared WA's data from the 2017 National Immunization Survey, as well as HPV vaccine ordering data for the first half of 2018. Thanks to all the providers and their teams who are so dedicated to increasing HPV vaccination rates and reducing cancer!

The School Module is a portal into the IIS that's designed for school nurses to improve immunization compliance work in schools. The School Module is a free, secure, and easy-to-use web-based tool that allows users to track and manage student and school-level immunization information. During this webinar we will provide an overview of the School Module, the steps to gain access to the system, and spotlight tools and resources.

School Immunization Status Reporting Update

The deadline for 2018-19 school reporting has passed, but we wanted to share a couple reminders about the importance of submitting these reports on time. 

You may know that Washington State law requires schools to submit an immunization status report by November 1st every year. What you may not know is less than three quarters submit their reports by that deadline.

Besides being a law, the Department of Health (DOH) needs your data by November 1st for three important reasons:

  • We need to reach a 95% reporting rate to call our data a census rather than a sample. Sampling would impose an added burden on the department and schools.
  • We need to have as close as possible to 100% of schools reporting so the data is comparable from year to year.
  • By allowing some schools to report later than November 1st, we penalize schools that report on time. Schools that comply with the law report some students as having a Conditional or Out of Compliance status in October who would be complete by the end of December.

Clinic Immunization Resources

The DOH Immunization Nurse Consultants often receive questions about the immunization schedule, especially questions about specific vaccines. Here are some resources we frequently send to clinics that may be helpful to hang in your injection preparation area.

Known Forecast Issues

We are currently working on the following forecast issues with our IIS vendor. We will let users know when these issues are resolved:

  • Forecast does not consider PCV series to be complete when dose 3 is administered at >12 months of age with an 8 week interval after dose 2.
  • Forecasting for 6 DTaP doses given before age 4 years has not yet been implemented.
  • Forecast shows patients who received 4 IPV doses at appropriate intervals and ages before 8/7/09 as incomplete.
  • Forecast does not recommend 11-12 year old Meningococcal ACWY booster dose following doses administered before age 10 years.
  • Forecast shows that patient needs flu vaccine in 2022 even though patient is completely vaccinated.
