Editing IIS Data

DataCheck

The ability to access a patient's consolidated immunization record is one of the benefits of IIS. This means that if a patient receives vaccines from multiple providers who share data with the IIS, all of their demographic and vaccination data will be compiled into one record. With multiple providers contributing data for the same patient, this also means you may see incorrect information in the IIS.

  • If you identify incorrect demographic data for one of your patients (e.g. incorrect birth date), you can easily edit this information in the system by following the instructions in the Editing Patient Demographics guide.
  • If you identify incorrect vaccination data that was documented by your clinic, this information can be edited in the IIS or it may be possible to correct the data in your EHR and resubmit to the IIS (if you have an interface). View the Editing, Deleting, and Viewing Vaccinations guide for instructions on editing vaccines in the IIS.  
  • If you identify incorrect vaccination data from another provider, we recommend contacting the facility that entered the data so they can make the appropriate corrections. If you are unsure which facility documented the incorrect data or you do not have access to edit data, please contact the IIS Help Desk for assistance at 1-800-325-5599 or WAIISHelpDesk@doh.wa.gov.

If you have ever wondered where to find IIS training resources, you now have easier access through the IIS homepage. You can get to IIS training materials by scrolling down the homepage and clicking on the IIS Training Materials icon.

Each title links to a specific training resource and clicking the Details button allows you to view the intended audience, description, and links to any relevant training videos.

Important Technical Changes Coming January 1st

Changes

On January 1, 2019, the Washington State Immunization Information System, in cooperation with our internet service provider, Washington Technology Solutions (WaTech), will discontinue support for Transport Layer Security (TLS) 1.0.

What does this mean for IIS users?
You will not be able to access the IIS after January 1st if you are using an internet browser that does not support the newer TLS protocol settings (TLS 1.1 and/or TLS 1.2). 

What does this mean for your electronic immunization interface (HL7 connections)?
Your electronic health record (EHR) will no longer connect or be able to send vaccination records to the IIS if your interface is using TLS 1.0 after January 1st.

Advancing Immunization Data Exchange with the HIE

Earlier this year, WA State Department of Health joined forces with OneHealthPort, WA's Health Information Exchange (HIE), as the preferred way to exchange data electronically with the IIS. HIE's provide healthcare organizations a secure, low-cost way to exchange data with a variety of health information systems. 

Currently 12 Washington providers are connected to the IIS through the HIE. Many more are in the testing phase and will go live soon. The onboarding process can seem daunting, but WA's onboarding team comes with years of experience and is dedicated to making the process as seamless as possible. 

Providers who have gone through the onboarding process had the following to share about their experiences:

  • The testing phase of the onboarding process was streamlined and I highly recommend other providers to connect to the IIS through the OneHealthPort HIE. -  Inland Northwest Health Services 
  • The onboarding process is well laid out and the team does an excellent job keeping it uniform, no matter what facility you're working with. It makes it much easier when I consistently know what is expected on my end. The onboarding team is very responsive, so I have never felt like things were being put on hold due to lack of communication. - Evident EHR vendor

Vax Q's

Vax Qs

Immunization providers now have the ability to increase their immunization knowledge by participating in an interactive "Vax Qs" each month. Vax Qs (vaccine questions) will be sent in this newsletter and providers have the chance to respond by selecting an answer in the link provided below. After responding, you will get an automatic response letting you know if you answered the question correctly.

Measles Outbreaks 

CDC recently posted travel notices about measles outbreaks in Colombia, Israel, and Moldova. Healthcare providers should keep measles in mind when treating patients with fever and rash, especially if the patient has recently traveled internationally. Visit the CDC measles travel page to learn more about preventing measles.

MMR vaccine recommendations before international travel include: 

  • Patients ages 6 through 11 months should have 1 dose of MMR vaccine. 
  • Patients ages 1 year and older should have 2 doses given on or after the first birthday and separated by at least 28 days. 

Vaccine Administration Resources

The CDC Vaccine Administration Resource Library contains an extensive collection of brief videos (each is about 4 minutes) on a variety of vaccine administration topics. In addition, the Vaccine Administration e-Learn and You Call the Shots are both web-based immunization training courses that include the latest guidelines and recommendations in vaccine practice. 

The Immunization Action Coalition updated multiple vaccine administration materials to remove instructions for administering intradermal influenza vaccine since this formulation is no longer available.
