Use IRMS Support Email to Report Technical Issues with Local Estimated File Data Transmissions

Good afternoon Treasurers and Staffs, 

Effective immediately, please communicate any problems you have with the “technical” aspects of local estimated file data transmissions to TAX through the IRMS support channel. Specifically, email irms.support@tax.virginia.gov for help with the following types of issues: 

  • Rejected files for which you do not understand the error message
  • Not receiving the 56.0 report, or not sure of its accuracy
  • Problems with file formatting
  • Any technical issues involving the creation of a file or disposition of a file once sent

Carol Herring and Lynn Pulley-Paine can no longer support you in this capacity. They have, in the past, been most willing and unselfishly available to assist with spontaneous inquiries when many of you felt that you did not receive assistance quickly or adequately enough via IRMS support. 

Carol Herring and Bertha Baskerville will continue to advise you during the month-end reconciliation processes that compare your Deposit Certificate amounts with your EESMC estimated tax file transmissions. And of course, they will help those of you who are still filing paper as we approach the final several months of the “paper to electronic” mandate. 

I have met with the representatives in IRMS support. They are prepared to help both experienced and first-time users who need to be set up to send a test file electronically. 

Further helpful hints and reminders: 

  • To minimize advice issues, as outlined in Procedure “Submit Local Estimated Payment Information to TAX—Electronic Submission” in Locality TARP, EESMC filers should fax or email their Local Estimated Income Tax Transmittal Form to the Local Support Team after a successful file upload through the EESMC Server.
  • In the event of file handling issues, the individual who uploaded the file will be sent an email about the issues so they need to pay close attention to all of TAX’s email notifications.  
  • The job aid related to Local Estimated Income Tax Errors was updated in June 2016 and can be found in Locality TARP at this link. This detailed job aid should help you resolve any errors.
