Thank you to everyone who took the time to complete our recent Teacher Newsletter Communication Survey!
We received valuable input from families across all grade levels (K–6). Your feedback is incredibly important to us as we strive to streamline school-to-home communication and ensure you have the exact tools you need to support your student.
Here is a summary of what we learned and how we plan to take action moving forward.
🔍 Key Takeaways: What You Told Us
-
High Engagement: The vast majority of our families report reading the teacher newsletters every week or most weeks.
-
Preferred Format: Families overwhelmingly prefer receiving updates as a direct email message (with the text in the email body rather than a PDF or image attachment),
-
Preferred Frequency: A strong majority of parents prefer to keep receiving updates on a weekly basis to help plan the days ahead.
💡 What Families Value Most
When asked what sections are the most helpful, the response was clear. Families heavily prioritize:
-
Upcoming Events & Reminders: Field trips, spirit weeks, and school-wide dates.
-
Tests, Assessments, & Projects: Advanced notice of test dates and project requirements.
-
Upcoming Learning Topics: Knowing what is coming up in academics, rather than just a recap of what already happened.
-
An overwhelming number of parents selected simple formatting, short summaries, and bullet points. You prefer scannable, straightforward layouts with minimal "fluff" and fewer repetitive reminders.
🛠️ In Your Own Words: Areas for Improvement
We also asked what was missing or what could be simplified. We heard your helpful critiques loud and clear:
-
Accuracy & Consistency: Several parents noted that test dates or schedules sometimes shift without updates in the newsletter, making weekly family planning difficult.
-
The "Treasure Hunt" for Resources: Many of you shared that navigating too many digital links, apps, and folders is overwhelming.
-
Static Reminders: Families requested that we remove standard reminders that never change (e.g., "bring a water bottle," "charge laptops") to keep the weekly content fresh and relevant.
-
Unnecessary Conversation Starters: While some families love using the "Ask your child..." prompts at the dinner table, the marjoirty of portion of parents mentioned they prefer to skip them or make up their own.
🚀 Next Steps: Our Commitment to You
Based on your feedback, we are working as a staff to refine our communication standards. Moving forward, you can expect our team to focus on:
-
Prioritizing the Essentials: Keeping text crisp, leveraging bullet points, and placing time-sensitive updates right at the top.
-
A Refocused Learning Overview: To keep newsletters concise and actionable, teachers will move away from deeply detailed weekly content summaries by subject. Instead, we will focus directly on upcoming assessments, due dates, and study resources. For families who wish to dive deeper into the overarching learning objectives, we will provide a consistent reference link to the forward-facing FCPS Curriculum Overview.
🌐 Direct Focus on Digital Accessibility for 2026-27
In addition to streamlining our content, your feedback perfectly aligns with our district's commitment to inclusivity. As we design our standard communications for the 2026-27 school year, we are shifting our practices to support the FCPS Accessible Educational Materials (AEM) guidelines.
This means we are intentionally eliminating barriers to digital access by implementing the following changes:
-
No More Text in Images or PDFs: Several parents noted that unsearchable image files or rigid PDF attachments are difficult to navigate or search. By prioritizing direct email text and accessible web layouts, we ensure our newsletters can be easily read by screen readers, translated accurately into multiple languages, and easily searched in your inbox.
-
Accessible Links and Layouts: We will ensure all embedded links use clear, descriptive text (instead of raw URLs or "click here") and that our color contrasts and font choices meet digital accessibility standards for all users.
Thank you again for partnering with us to make this school year a success! Your insights ensure we can work together smoothly to support our students for the 2026-27 school year.
Sincerely,
Kelly Sheers
