Greetings HR Directors,
As we continue our journey to automate and streamline HR processes, we are excited to announce that the Probationary Review Process in PageUp is live! Supervisors must create performance objectives for their new employees and will evaluate progress using these objectives and competencies. The system is aligned with the updated Policy 1.45 – Probationary Period.
Policy highlights:

Required probationary reviews: Supervisors must complete probationary reviews at 6 months and again before 12 months, assigning a rating of Successful or Unsuccessful with documented feedback. Please emphasize to supervisors that if a probationary employee works beyond 12 months without written notice of unsatisfactory completion or an extension of the probationary period, the employee will be considered to have successfully completed probation.

Documentation expectations: All reviews and ongoing feedback must be recorded in the performance management system or in a supervisory file. Formal probationary reviews must be retained in PageUp, another performance management system, or the employee’s personnel file.

Extensions: Probation may be extended for up to six months for performance reasons if the employee is notified in writing before the end of the 12 month period. Probation must be extended when leave exceeds 14 consecutive days (including FMLA, military leave, workers’ compensation, and VSDP).

Certification-based probation: Positions requiring certification after a prescribed training program may require a new probationary period. This requirement must be reflected in job postings and offer letters. DHRM approval of these criteria is required.
Next Steps:

Initiate PageUp probationary review for your new hires
- The Review Start Date must be the employee’s hire date in Cardinal.
- Do not adjust the Review End Date.

Review job postings and offer letter templates for positions with extended or certification- based probation.

Update supervisors on new expectations:
- Set performance objectives for new hires within 30 days
- Provide ongoing feedback
- Ensure onboarding/training/resources
