Dependents Enrolled During Open Enrollment Awaiting Approval
Employees have 30 days from the end of Open Enrollment to submit eligibility supporting documentation to approve elections to enroll eligible dependents. The Health Benefits Program Eligibility Rules and Definitions, including the required dependent documentation, can be found on the DHRM website.
If the employee fails to provide the documentation by June 29 the dependent should be removed.
Please run the Dependent Waiting Approval Report to monitor outstanding dependents that need approval and take actions to remove unapproved dependents as described below. See Job Aid BN361_Managing and Approving Dependents for instructions to run the Dependent Waiting Approval Report.
If supporting documentation is not received timely, HR staff should re-enter the open enrollment event used to add the dependent in On-Demand Event Maintenance to remove the dependent. From the Option Election tab update the membership level if applicable and select (-) to remove the unapproved dependent from the dependent list. Steps to re-open an event are found in Job Aid BN361_Re-opening and Reprocessing a Benefit Event (virginia.gov).
If the update is performed timely, the employee premium level should be adjusted prior to the certification of the first payroll for the 2025-2026 plan year
July 1 Paycheck Deductions
The 7/1/25 paycheck includes deductions for the month of June. The 2025-2026 plan year health care premiums, FSA deductions and premium rewards will be included in the first payroll after 7/1/2025, depending on the employee’s pay schedule. Please encourage employees to review their first check of the new plan year for accuracy at that time.
