Cardinal Data Cleanup Project Effort Update
Greetings Agency Heads and HR Directors,
DHRM is continuing the targeted data cleanup project effort to ensure that Cardinal records are accurate and up to date. Your agency's participation in this effort is vital and required for maintaining the integrity of our systems and being able to provide accurate and reliable data for reporting and informed decision-making. We understand that agencies have multiple competing priorities and may be challenged to audit records.
Why are we doing this?
- Informed Decision-Making. Accurate data provides a reliable foundation for making informed decisions.
- Compliance and Reporting. Ensuring data accuracy helps to meet statewide mandates, respond to FOIA requests, support report requests for the Administration, and fulfill legal and regulatory requirements, thus avoiding potential fines and penalties.
- Operational Efficiency. Accurate data helps to streamline operations and improve efficiency. It reduces errors, minimizes redundant processes, and ensures that workflows impacting downstream systems, including third-party systems for VRS and Benefits are based on correct information, thus saving time and resources.
- Employee Trust and Satisfaction: When HR data is accurate, employees have confidence that their personal information, job roles, and compensation are correctly administered.
- Strategic Planning. Accurate data is essential for effective strategic planning and forecasting.
- Resource Management. Ensuring accurate data helps with effective resource management, such as budgeting and staffing. This improves utilization of resources for benefits, payroll, time and labor, and finance management. Below is a sample of the data we will be requesting for your agency to review
Below is a sample of the data we have been or will be requesting for your agency to review and update:
- Telework -both position and employee (must be updated by January 31, 2025)
- Exempt/Non-Exempt Status (must be updated by January 31, 2025)
- Reports To
- Standard Occupational Classification (SOC) codes
- FTE % (needed for EPR)
- Salary Data (State/Non-State/Special/Hourly)
- Citizenship
- Continuous Service Date
- Date of birth
Agencies are encouraged to continue to audit and update employee information, as appropriate. Your cooperation and attention to this project are greatly appreciated and thank you for your continued collaboration.
