Updates to the COVApp for Telework Agreements

Dear HR Directors,
We are excited to announce several changes to the COVApp for Telework Agreements effective December 11, 2024. Please find the changes below.
Cardinal Interface
COVApp for Telework has partnered with Cardinal to develop an interface and reporting option. Telework Agreements will be interfaced with Cardinal to record the number of approved telework days along with the agreement's start and end dates.
- The first interface will include all agreements, including those that have not been keyed into Cardinal.
- Moving forward, a daily file will update approved and final Standard Telework Agreements in Cardinal.
- Standard Telework Agreements are valid for 12 months. Therefore, the system will no longer allow agencies to establish an agreement end date that exceeds 12 months.
- DHRM has authorized the COVApps team to cancel pending telework agreements dating between 2022 and July 1, 2024 without approvals. This includes unapproved agreements for more than one telework day per week. These agreements will display using a new cancelled status - Cycle Timed Out. The Cancel - Cycle Timed Out designation indicates the pending Telework agreement period has expired. A cancellation report will be forwarded to Agency HR Directors once these actions are processed.
- Employees will be required to provide clarification for their telework request in the Justification for Telework Request/Comments section of the form to better facilitate the approval process.
Bulk Renewal
- Policy 1.61, Telework notes that renewals of telework agreements should be approved by the respective Agency Head. By selecting “Yes”, this is a Renewal of Current Agreement, the Telework Agreement approval process will stop at the Agency Head level. If the selection is "No" the telework agreement will progress to the Cabinet Secretary or the Chief of Staff as appropriate. See the below screen images.
- HR Administrators and Initiators may now renew telework agreements using a Bulk Renewal process for up to 250 records at one time. Start and end dates are editable by the Initiator. See the below screen images.
- Bulk renewals may take 30 seconds to load. Please be patient and do not close out your browser until the processing is completed.
