Time for Supervisors to Complete Employee Evaluations Using PerForms
Dear Agency Heads and HR Directors,
The PerForms annual performance evaluation has been released and managers should start their employees evaluations. PerForms will be used by classified employees who are in the Cardinal system and are subject to the state performance planning and evaluation policy.
The goals for automating our performance review process are to:
- Standardize key business functions across the Commonwealth.
- Provide valuable data and information that can be analyzed in real time.
- Save time spent creating and maintaining forms and processes.
- Provide enhanced visibility of processes.
What HR Directors Need to Know:
- HR must “initiate” the evaluation. Please see the training video for how to do this.
- PerForms will route the evaluation to the supervisor that is identified in the Cardinal record. The position and employee data are refreshed from Cardinal at the beginning of each business day. If you make a change to a record in Cardinal, the change will not be displayed immediately in PerFoms.
- To access the PerForms App, employees must use the email address that provides their access to the Cardinal system. Those who do not have access to the Cardinal system will not have access to PerForms.
HR Directors Action Required:
- Please communicate the launch of the evaluation tool to your managers/supervisors.
- If you have not done so, please identify two PerForms agency administrators for your agency who will assign and maintain the security roles (Initiator, Agency HR Reviewer, Reports) within the PerForms application and email their names to covapps@vita.virginia.gov as soon as possible.
- Please initiate your evaluations once the initiator roles are assigned.
What Managers/Supervisors Need to Know:
- Prior to completing the evaluation, managers should review their employee's self evaluation if they completed one. Once complete, the supervisor can access the self-evaluation via the My Teams page in PerForms (https://covapps.vita.virginia.gov/PerForms/).
- Print or refer to an electronic copy of the Employee Work Profile (EWP) as well as any other relevant documentation that was created throughout the year.
- Complete the Performance Evaluation in PerForms.
- Conduct the evaluation meeting in person or online.
- Finalize the review with all signatures by 12/31/2024.
