Effective July 31, 2026, Cardinal is updating security permissions for the HR Administrator (V_HR_ADMINISTRATOR) role to include access to the Approval Tile on the Cardinal HCM Homepage. HR Administrators can use this tile to manage employee name change requests via the Pending Approvals page.
 Processing Pending Name Change Requests
New requests will automatically route to the HR Administrator(s) assigned to the employee’s agency. If an agency does not have a designated HR Administrator with the V_HR_ADMINISTRATOR role, requests will be routed to DHRM Operations for review.
HR Administrators can click the Approvals Tile to review pending requests on the Pending Approvals page.
 When processing requests, review the details, gather any required supporting documentation, and approve or deny accordingly. Approving a request will automatically update the employee’s current name record in Personal Data.
Important Effective Date Rule:
If the requested effective date is earlier than the employee’s current name record in Personal Data, the system will not update the record automatically upon approval. In this scenario, HR Administrators should deny the request and take one of the following actions:
- Instruct the employee to submit a new request with a current effective date, OR
- Manually update the record by adding a new effective-dated row in Personal Data and keying the change to the applicable name field(s).
If the transaction is approved with an effective date that is earlier than the current effective date in Personal Data, no updates will be applied to the record, and no warning or error messages will be displayed.
