Given the high volume of Rewards and Recognition Mass Upload Template usage by agencies in May, the following guidance is provided to help ensure accurate completion of these files. |

Completing the Template
- Before adding new rewards to employee records, run the Rewards and Recognition Query (V_HR_REWARD_RECOGN_MASS_DATA) with the “New Reward” checkbox selected.
- Copy the data from the query directly into the Upload template before making any changes or deleting rows for employees not receiving the reward. This ensures accurate and crucial formatting in the upload template.

Payroll Service Bureau (PSB) Agencies: Follow PSB requirements by indicating if the bonus is discretionary or non-discretionary in the comments.

Reward Template Upload Errors/Process Errors
Important: If the upload process is unsuccessful or contains errors, do not re-run the same file, as this may result in duplicate transactions for rows that successfully loaded the first time. Instead, do the following:
- After uploading your reward template to Cardinal, check the error log.
- To determine which rows loaded correctly, run the Rewards and Recognition Query with the “New Reward” checkbox unselected and compare against your mass upload file.
- Address failed transactions by either creating a new mass upload file with only those items or entering them manually on the Rewards and Recognition Page.

Agencies Using Cardinal Absence Management
Important: Rewards and Recognition uploads do not automatically update Cardinal Absence Management (AM) balances. HR Administrators must coordinate with their AM Administrator to update these balances per agency/PSB guidelines.

- Contact the DHRM iHelp team at iHelp@dhrm.virginia.gov for basic inquiries or
- Submit a help desk ticket to report a processing or other system issue by emailing vccc@vita.virginia.gov and include the following information:
