VAIRRS Wizard Completion Campaign |

As we approach the end of 2022, we would like to thank the study teams and research office personnel for the Project Cover Sheet (PCS) wizard completion progress this year. As of December 5, 2022, there were 14,773 completed Project Cover Sheets within VAIRRS, accounting for 80% of all active projects in the system. |
|
Completed PCS wizards are the foundation of the VAIRRS database, which serves as a critical information source for ORD and VHA leadership. Please continue to ensure all new and active projects conducted at your facility have completed a PCS wizard. With your support, we look forward to meeting our 90% completion rate goal in 2023.

Thank you to all who completed the VAIRRS multi-site and data validation request! As of November 30, 2022, 84% of facilities have validated their respective data. VAIRRS is in the process of reviewing feedback and will reach out to facilities to resolve any issues, if needed. If you have not already reviewed and validated your facility’s data, please do so as soon as possible and notify VAIRRS at VAIRRS@va.gov once validation is complete.

The VA Central IRB is accepting conflict of interest (COI) documentation in the new IRBNet COI Module. If an investigator’s facility is not utilizing the COI Module, the Central IRB will require documentation to be uploaded into the IRBNet submission package.

VAIRRS Field Staff Reporting Dashboard
The VAIRRS Field Staff Reporting Dashboard has been updated to ensure increased accuracy and improve search capabilities. The dashboard for your facility is intended to provide insight to your facility’s IRBNet data, support management of the research program and provide a reporting toolset. You can request access to your facility’s dashboard here.

This is a reminder that the new mentor program will launch in April 2023. The purpose of the VAIRRS Mentor Program is to aid facilities in need of advisory support from a subject matter expert within VA Research.
VAIRRS mentors will be expected to:
- Conduct mentoring and assistive virtual/phone sessions with research programs.
- Assist in reviewing current and planned resources to manage and update VAIRRS/IRBNet workspaces (i.e., research administration).
- Provide feedback to Office of Research Protections, Policy, and Education (ORPP&E) leadership on issues impacting the field research administration.
- Work with research programs to develop plans for reviewing efficiency and effectiveness of processes within their program.
- Assist in developing systems to effectively manage risks in research programs.
Online applications will be available for sites that would like to serve as a mentor and sites that would like to be mentees beginning in January 2023. Mentor and mentee application submissions will be reviewed and finalized by ORPP&E leadership, with an expected launch date of April 2023. Stay tuned for more information in the new year.

The VAIRRS team is preparing to launch VAIRRS University in January! VAIRRS University is designed to optimize VAIRRS-specific training for VA research employees to foster an educated and self-reliant end-user group. VAIRRS University, which can be accessed via the VAIRRS SharePoint, is a revised training library designed to promote self-education and independent learning, allowing end-users to easily locate trainings that meet their specific needs.
More information and demonstrations regarding the updated training platform will be shared in the coming months.

The VA Electronic Determination Aid (VAEDA) is available to all VA facilities. VAEDA provides researchers with services for expedited, standardized determinations and streamlined processes within VA research. Users can access the tool here.
Complete the quick, 3-step startup process to begin your first determination:
1) Open the tool in your browser and log in with your VA PIV credentials
2) Confirm account details and create your profile
3) Start your determination
