Customer Approval Rebuild: Details on the New Role
We are pleased to introduce a new OASIS user role for customers that will debut on June 10. This role, called "Non-Approver," will allow users to access OASIS, view OAs, and communicate with OA Editors via the system. This type of “view only” functionality was among the top enhancements requested by our customers since OASIS went live last year.
This new role will allow users to:
- See incoming OAs requiring review
- View all the OA data in the system
- Submit requests for clarification on an OA approval review
- Add internal comments to the agency review
- Tag yourself or others to an OA review
- Submit a Release of Space or Billing Question to PBS
The only thing the role cannot do is Approve or Reject an OA. That right remains with the Customer Ordering Official.
PBS is working with your Customer Internal Authorizing Official (CIAO) to get the names of users for this role. Further information and training will be provided when we launch.
New User Role: User Access Form
Members of PBS Customer Engagement team will be reaching out to Customer Internal Authorizing Officials (CIAOs) in preparation for the new user role. Each agency will have the ability to move current Ordering Officials to the Non-Approver role and/or to add a limited number of new users to the new role. An email will go out to CIAOs this week so please be on the lookout and respond by the deadline to have your users automatically set up.
Customer Approval Rebuild: Get Ready and Approve Outstanding OAs Now
We’re getting excited for the rollout of the new customer approval workflow. As it gets closer (24 days and counting!) we ask for your assistance. OAs that are with the customer for review, will be pulled back out of agency review on June 6, and resent on June 10.
We would like to minimize the number of OAs that require this administrative step, and ensure that lease awards and OA billing can proceed. We ask that all agencies prioritize the review of OAs currently with them for review and provide an Approve/Reject disposition as soon as possible.
Reviewing OAs quickly isn’t just important for the approval build. It’s crucial that OA reviews happen timely as the OA is sent to you when we’re ready to award or ready to bill and not as a pre-planning document. Delays in approving could mean a we could lose a contract proposal or delay customer billing.
Please help us keep our projects on time and assist with the OA approval workflow rollout by clearing those OAs now. You can continue to reach out to us at pbsoasis@gsa.gov if you find any OAs missing the review buttons.
OASIS Offline Today (Reminder)
As mentioned in the last Bulletin, OASIS will be offline and inaccessible today to ensure billing is fully completed. The lockout is expected to last all day, but if all goes well we are hoping to have OASIS access around 2 PM EST today.
