Staff members and their families have been dreaming up creative ways to raise money for good causes during lockdown.
While fundraising events and campaigns have been cancelled up and down the country because of the ongoing restrictions, many of you haven't let that stop you doing your bit.
Among the innovative fundraisers is nine-year-old Lucie Cheek, main picture above. Lucie wanted to grow her hair so it could be made into a wig for a child who has been affected by cancer or another condiction. Meanwhile, our very own Barry Potts in Housing hasn't let coronavirus prevent him from raising money for The Shark Trust. Barry was due to run the 65-mile Isle of Wight Challenge in May, but is now signed up to attempt the 100km South Coast Challenge on 29/30 August. In addition, Gail Anderson in Corporate Communications, pictured above right, was disappointed to learn she couldn't take part in the St Albans Half Marathon in June to raise funds for her son's school, The Lea Primary School in Harpenden. Instead, along with her neighbour, she completed a half marathon around Redbourn, St Albans and Harpenden in 2 hours 12 minutes. And after three months of sharing language learning online, Cath Shepherd, also from Corporate Communications, is bidding a fond 'au revoir' to her Lockdown Languages initiative. Set up just as the schools were closing in mid-March to help her friends' kids with their French and Spanish homework, the project has raised more than £300 for the Trussell Trust which supports the nationwide network of Foodbanks and campaigns for change. Lockdown Languages hit boom time with collaborative classes for adults and boozy linguistic Zooms. Cath says a massive thank you to everyone who took part in sessions or contributed and there's still time to add a small donation. In order to manage annual leave effectively and maintain service provision during the Covid-19 pandemic, Service Heads need to ensure that the majority of annual leave is taken equally throughout the year and not stored until the final quarter or until lock-down measures are relaxed.
New temporary arrangements for the management of annual leave introduced in early April, required all staff to take 1 day in April, 2 days in May and 2 days in June (pro rata for p/t staff) and staff were advised that they would be required to take 2 days per month until further notice. Staff who were at home but not working, were also instructed to take any untaken leave carried forward from 2019/20 by 26 June 2020. The guidance was silent on the treatment of untaken leave from 2019/20 for staff who are working.
The Senior Management Team reviewed these arrangements at the end of April and again at the end of May and the following amendments were agreed to provide greater flexibility:
- from 1 July 2020 staff can take their leave in any configuration that suits them (subject to the normal process of booking and authorisation), providing that they take a minimum of 12 days annual leave by the end of Quarter 2 (30 September 2020) and 18 days leave by the end of Quarter 3 (31 December 2020) (Pro rata for part time staff)
- in addition, any staff who still have untaken leave carried forward from 2019/20 will need to take this by 30 September 2020.
- in the final quarter of the annual leave year (1 January to 31 March 2021) staff will be expected to take the balance of their remaining annual leave wherever possible.
- The normal provisions of the Annual Leave Policy regarding the carry forward of untaken annual leave will apply at the end of the leave year (please see the relevant extract set out below in italics)
UNDERTAKEN LEAVE AT END OF LEAVE YEAR
8.1 The purpose of providing an annual leave entitlement is to ensure that all staff benefit from an opportunity to rest and recuperate. To achieve this aim it is essential that workload is managed to enable staff to take their leave and they should be encouraged to do so.
8.2 In exceptional cases, where an individual has been unable to take their full leave entitlement due to pressure of work, the Service Group Head may agree for up to 5 days entitlement to be transferred into the next year's entitlement in consultation with their Director.
8.3 This transferred entitlement should be taken within the first three months of the new leave year and a request to take it should normally be treated sympathetically.
Exemptions
Any members of staff who have not been able to comply with the requirements so far, or who anticipate being unable to comply with the requirements set out above e.g. due to service requirements, will need to request their Head of Service to seek an exemption from the Managing Director or the Executive Director, once he is in post. An exemption may be agreed on the basis that the requirement be relaxed to accommodate specific circumstances in a given quarter and then transferred to a subsequent quarter. For example, where a member of staff has a specific requirement to book a long holiday in quarter 3 or 4, which they would not be able to accommodate if required to take their leave in quarter 2. In this event, a Service Head can approve this exception but the member of staff will need to be aware that if they later wish to cancel their pre-booked leave, they may not be able to change it, and will not be able to carry it forward into the next leave year.
In very exceptional circumstances, the member of staff may be deemed to be exempt from all annual leave restrictions in 2020-2021 due to the nature of their role.
All exemptions will be confirmed in writing by HR on receipt of instructions from a Head of Service, endorsed by the Managing Director or Executive Director.
N.B. If a member of staff wishes to take more than the amount of leave specified above, they may do so, subject to service requirements.
These arrangements will be monitored on a quarterly basis and a report provided to the Managing Director on each of the following dates:
15 June 2020
15 September 2020
15 December 2020
15 March 2021
As part of the quarterly report, Service Heads will be required to justify any decisions to deviate from the agreed plan.
The Annual Leave Policy will be kept under review, as new guidance emerges around travel and quarantine restrictions and you will be informed of further updates as soon as we have developed our local policy and procedures.
