Hi everyone,
March is here and with it comes the final stretch before the new finance system goes live – TechnologyOne. This is a self-service system which will make it easier for all of us to take control of requisitions, purchase orders, reporting and more.
You should now have received an invitation to training if you currently use the finance system and will need to in future.
The training has been organised by theme – a full list of the themes can be found on The Fountain – please have a look through and email technologyonesupport@havant.gov.uk if you haven’t received an invitation and feel you should have done.
The team is keeping registers for who has attended training, so please don’t forward any training invitations on to others, and instead encourage anyone who feels they may have been missed to contact the team using the above email address.
If you are unable to attend training on the date you have been sent, please do respond to the invitation and let the team know, they will do their best to get you on to another session.
Please note, you will need to bring your laptop along to the training sessions.
There are a few key dates for your diaries this month with the combination of year end and the move to TechnologyOne coming together:
- 3 March
- UAT phase three signed off by the team
- 10 March
- Live TechnologyOne environment to be made available to members of the project team
- 18 March
- Stop GRNs
- Freeze any changes to suppliers
- Don’t add any new suppliers to the old system
- Last day to add invoices
- 19 March
- Cancel any remaining GRNs and POs on the old system
- 25 March
- Stop raising AR invoices
- LAST PAYMENT RUN
- 31 March
- Live transactions stop - midnight
- With a few exceptions, users will no longer had editing access to Pay360 and Integra. Read-only access will remain for a limited time period.
- 1 April
- New system - TechnologyOne goes live and transactions begin
As you are hopefully aware, the HR migration has now been completed successfully and we can all now access the new system.
Following Monday’s implementation of the new MyView portal, the HR team has been made aware of some technical issues. Details about these and how to get help if needed can be found on The Fountain.
The next Fountain Live, in person event, is taking place on Thursday 20 March and will be a great opportunity to find out more about the finance project, as well as Customer Services coming back in-house and the upcoming IT changes.
Please prioritise attending this session and encourage colleagues to do the same. It is so important for us all to stay updated on organisational changes and to spend time together as one team.
