The spreadsheet is used as part of a bulk process to automatically create an individual PDF leaver form on each members record. In some cases, the reasons for leaving have not carried across where different wording has been typed into the Reason for Leaving field, or entries have been copied and pasted so the formatting of the spreadsheet isn’t as it should be.

Just to remind you that you should not be sending starter or leaver forms for any TUPE’s or when an academy moves to a different Multi Academy Trust (MAT) as it causes issues for all areas of our office. Instead, please follow the process on our website.

Thank you to everyone who has sent us your Employer Key Decisions form which helps us manage submission of your data and key decisions.
For those of you that haven’t submitted one at all or chosen on a case by case basis for strain cost or discretions, we expect you to submit the HR Authorisation form with each employer led retirement (Flexible Retirement, Redundancy/efficiency etc) and if you are waiving any reductions or enhancing any benefits.

Please make sure the choices you make to enhance benefits or allow them to be paid early is in accordance with your employer pensions discretions policy.

Please share the link or a copy with your HR team and ask them to follow the new process. If a form is not provided, payment of the members benefits will be delayed whilst we wait for it to be sent.

If you employ a Returning Officer, please could you email the Employer & Communications team confirming their full name, National Insurance Number, your employer name and Altair number (00123 for example) along with whether or not they are paying into the LGPS in that role. This is an annual exercise we run to ensure the records we hold are correct so we would be grateful if you could respond by 18th August 2023.
Following on from the item mentioned in the May Pensions Line Newsletter and the email that went out to employers at the beginning of June, we would like to thank everyone who has returned their Annual Allowance submission.
The completed spreadsheet should include either pay details for your high earners (over £90,000) and those who have had an increase of £5,000 or more in the last year, or to confirm that they have no members in those categories.

Your feedback is helping us to understand the process from your point of view. It’s interesting to know that all employers who answered have not built a report within the payroll system to extract the data but are manually updating the spreadsheet..
- You asked if the Fund, Employer and Employer Number along with the Employer’s Authorisation section could be automatically transferred from the Input page to the main leavers tab - we are looking into this functionality along with the ability to tab within some of the fields.
- We had a request to build in a calculator to work out FTE hours & salaries – this functionality has not been included because the responsibility for the calculation and notification of final pensionable pay remains with you as the employer.
- There is no plan for the ‘main leavers tab’ to be amended so responses to queries can also be submitted on the spreadsheet. This will remain a separate process.
- As you know the ability to check your employee data online stopped when we lost Employer Self Service so unfortunately there is no longer direct access to member records. However, the monthly Interface that you submit ensures the continued accuracy of records and confidence in the data we hold.
- There is no current plan to move to IConnect so your feedback about the leavers spreadsheet is vital to help make the process as efficient as it can be.

Keep us updated with any changes in staff responsible for completing our forms (authorised signatories). This can be done by completing our online form.
Payment of Pension Fund Contributions - please remember to inform us and the relevant Finance team each time you have paid your pension scheme contributions, by filling in the Monthly Contributions Form.
If you are changing your Payroll Provider, please contact the Employer & Communications Team so that we can help you through the process and make sure you retain access to historical payroll information.
TUPEs & New Academies - Please do not complete the leaver spreadsheet if members are leaving your employment and transferring to another employer under TUPE. Follow the process outlined on our website instead.
