TxSmartBuy (TSB) Purchase Order Change Notice Processing
Texas Comptroller of Public Accounts sent this bulletin at 10/11/2011 01:47 PM CDTTxSmartBuy (TSB) Purchase Order Change Notice Processing
It has been brought to the attention of the Comptroller’s Office that Purchase Order Change Notices (POCN) are not being processed timely through TSB when the delivered quantity or amount differs from the original Purchase Order.
The 3-way match process for payment (PO to Receiving to Invoice) and the TSB Administrative Fee are contingent on the accuracy of POs that are processed through the system. It is critical that quantity changes associated with orders for Core items and for the amounts entered through “Add Quotes or Charges to Purchase Orders” are processed timely.
Information and instructions for processing POCNs is available in the TxSmartBuy Purchaser Guide at TxSmartBuy Help.
Failure to accurately and timely process POCNs through TSB may delay the payment process, affect the contractors and create audit implications for state agencies.
