September 2022

From Our Project Manager, Vanessa Baker

Vanessa Baker

We’re so happy to share the news about AASHTOWare Project (AWP) at ODOT. We started our e-Construction journey with three steps in mind. The first, Doc Express for electronic document management. With you as our partners we have made this tool work for us. Without Doc Express through the pandemic, collaboration would have been extremely difficult. In the second step, we added iPads for our ODOT Construction crews to work in the field more efficiently. For the third step, we are achieving our vision of going as paperless as possible by adding AWP as a data management program for Construction & Materials (C&M) and Civil Rights & Labor (CRL).

We are excited for primes, consultants, subcontractors, and technicians to add data directly into AWP. ODOT will manage all access, roles, permissions, and approvals with a system administration help desk.

We are planning for a pilot at the beginning of 2023 to run a full lifecycle of a project through AWP. We will be asking for contractor and consultant volunteers. We value your input and comments about how the system works for you.

Together we can achieve this final step of utilizing AWP to bring huge advantages by sharing data, reporting, and collaborating with our partners!

What’s In It For Me? (WIIFM)

AASHTOWare Project

In last month’s News Flash, we introduced you to AASHTOWare Project (AWP). AWP is ODOT’s new construction data management system. It lets us work on a project from estimation to completion, utilizing data.

What this means for YOU!

There will be “one source of truth” for construction data in AWP. You’ll have electronic access to your contract data. Your information will move seamlessly across browsers, devices and platforms. You will see a reduction of paper with fewer forms, wet signatures, and spreadsheets. Expect an increase of information accessibility. You’ll also have more productivity in evaluation and reporting processes. Even your field work will be better integrated into the project.

Do you work with civil rights, labor, construction or materials? Your staff will be invited to join AWP training classes. These are designed specifically for you and your role in AWP. These training events will facilitate your learning experience.

Watch for introductory training opportunities to be offered soon.

If you have any questions, please send them to ODOTeConstruction@odot.oregon.gov.

It’s on the Horizon!

Our APOST Steering Committee has made some big decisions in the last few months. The results are some schedule changes and solid direction on deployment of AWP CRL and C&M.

First, We’re Cloud-Hosted:

All right, that’s not really new information. But cloud-hosted means a lot of planning with updates to the overall schedule. Logging in and creating accounts is much easier for ODOT and our contractors in the cloud. It also allows Infotech to support ODOT sys admin staff better. They will be able to make updates and changes promptly. All modules need to be in the same environment. We need to move the already existing Preconstruction and Estimation modules from ODOT servers to the new hosted environment. The ODOT APOST team and Infotech are completing a contract amendment to make this happen. When the amendment is complete, it will take 4 months to move and test the modules, Then, we’re ready for production go-live.

Second, the Deployment of AWP C&M and CRL:

Our project team asked the steering committee to determine which AWP deployment option made the most sense for ODOT and our customers. Originally, we planned to deploy the CRL module first in early 2023, and C&M after construction season in the fall. The steering committee reviewed the advantages and disadvantages of our options. They chose to change to launch CRL with C&M together in the fall 2023. This option allows our project team to conduct a full life of a project pilot and have projects all in AWP for both CRL and C&M at the same time.
