Volunteers Needed – Want to Master AP?

Background

The Global Acceptance Action (GAA) Subcommittee, led by David Dobson and Eric Burns, has been working to populate the data associated with materials into AP. This population allows for action relationships (AR) and acceptance actions (AA) in AP. AR and AA are tests and other means used to accept materials (think MFTP and NTMAG). These become sample records and daily work reports that inspectors fill out and are used to accept materials and pay for bid items.

Who and What Is Needed?

  • Help from Construction staff with experience accepting bid items, and knowing what materials are associated with those bid items.
  • Seeking QCCS, CAS, inspectors, RAS or other staff who know materials that go with bid items.
  • 900 materials need to be added to standard bid items as part of material sets. (Training provided.)

What Is the Commitment?

  • 2 hours of training conducted by David Dobson.
  • Volunteers will be shown how to populate the materials in an Excel spreadsheet.
  • Training will be live over Teams and recorded for those that cannot make it to the scheduled time.
  • November 2021 – March 2022.
  • This will be around 40 hrs. per month.
  • Total of six people are needed, but if there are more, less time is required.

  • Have a super user and leader for your unit!
  • Have your super user provide input on behalf of your unit to help improve the tool!

Schedule Updates

The APOST project is about halfway through and based on interface, rollout decisions, and data population timing, we have updated the project milestone dates. ITI proposed a phased rollout for the CRL module that you may have seen dates for; however, after reviewing the approach our project team felt we needed a different rollout method. More in depth information will be shared on the plan in the next newsletter. Below are the milestone dates we are working toward, realizing that there are many other tasks that lead up to completing these dates.

Subcommittee Updates - So Very Busy

Our subcommittees have been very active the last month as we move closer to our implementation date. Many of our teams are working with other teams to move APOST forward.

Here’s an example of what has been keeping subcommittee members busy.

CRL/Payroll Subcommittee: 

  • User interface and screen validations completed. 
  • Proposed workflow analysis completed.
  • Validated agency options completed.
  • Wage decision interface – validation pending.
  • Test scripts for payrolls submitted to the testing subcommittee. 
  • External workflows in process. 
  • DBE 
    • Roles are developed and in process for testing.
    • Agency view development – for the small contracting program (SCP). 
    • Custom reports have been identified and are listed in the reports drawer for developers' assignment. 
    • James M. will reconfigure reports that run through the data warehouse.

Shout out to JACLYN ELMES, from Infotech, working with the several AP Subcommittees: As an expert in materials for AP, Jaclyn is in high demand for her wisdom and experience. Sheridan Bailey praises Jaclyn for her vast wealth of knowledge that she willingly shares with many different subcommittees. Lori Butler says she is grateful for Jaclyn’s insights as to how data works in AP.

Shout out to JAMES SEALY, from Contract Administration, working with the AP Contract Change Orders: Despite his very busy schedule and commitment to several subcommittees, James has also provided his valuable knowledge and experience to assist the CCO subcommittee regarding paying vendors.
