A semi-regular publication from the M365 project team

Welcome to the second edition!

Spotlight

Last month, our team sent the M365 Agency Technical Readiness Assessment to the 13 agencies that will be joining the Oregon M365 enterprise and do not have an existing M365 environment. The project team will use this information to better understand their environments to baseline the project schedule.

Recent Activities 

The M365 project team has recently completed the following:

Stage Gate 2 Endorsement. The project team received its endorsement to proceed into Implementation Planning (Stage 3).  Thank you to our outgoing Oversight Analyst, Rebecca Craven for her questions and analysis which have better positioned this project for success.  As Rebecca transitions to her Senior IT Portfolio Manager role, we look forward to working with Jennifer Lechuga-Berg.   

Microsoft Teams trainings. We coordinated Teams trainings with Microsoft who led two trainings in October for nearly 200 attendees.  These recordings are available in iLearn for each type of training held: 

Teams 100. Great introduction for new users of Teams.  After this training, you will be able to perform the following:    Communicate through chat, channels, meetings, and calls; Collaborate on and co-author content using integrated Office 365 apps;  Customize your workplaces within chat and teams; Make audio and video calls   

Teams 200. Great for those with a basic understanding of Teams. This training explores  functionality of Teams. After this training you will be able to perform the following:  Set profile and activity settings; Dive into the features for using Teams and Channels ; Understand and use the various meeting features, like Meet Now or meeting in a channel; Options for files and search/command bar   

Microsoft 365 Hub. We have released the new Microsoft 365 Hub – a one-stop-shop for resources and training on all things M365.  Please note: that this resource will only be available to the 40+ agencies that have been moved into the Oregon M365 enterprise environment. Not sure if you are in one of those agencies? Check this link to verify.  


Current activities

Current Activities

In terms of current activities, the M365 project team remains focused on the following:  

MS Exchange 2010 Migration. Despite initial delays associated with public folders and the uniqueness of each environment, five of the six agencies have completed the onboarding into the M365 environment. The last agency will be onboarded by mid-November. We thank each agency for partnering with our team which has been critical to complete this work.  

Teams/OneDrive Enablement. The project team held a kickoff with these agencies to present options and best practices for implementing Teams and OneDrive.   

Schedule + ResourcingThe project team continues work on resourcing and detailing the schedule for the remaining migrations. The project is in the implementation planning stage which means the team is focused on achieving a schedule, scope, and budget baseline prior to beginning the Execution phase of the project.

Upcoming Activities & Milestones

Looking at the weeks ahead, the M365 project team will be focused on:  

M365 Advisory Committee. As previously noted, the cross-agency and business-focused M365 Advisory Committee will be tasked with identifying, analyzing, and making recommendations regarding M365 feature requests, configurations, integrations, and compliance requirements. We will be working to Charter this group and identify its membership. While we want to ensure representation from all six policy verticals as well as smaller, mid-size and large agencies, we encourage you to send us an email if you’re interested in participating or have potential nominations.  

Organizational Change Management (OCM) KickoffA kickoff is being planned for later this month to help agencies embrace the digital workplace that M365 brings to the State of OregonAgency directors will be asked to identify OCM resources to assist with these efforts.
