In terms of content, the newsletter will focus on recent project activities, as well as current and upcoming tasks and project milestones. From time to time, we will also have a spotlight section where we highlight training opportunities and onboarding resources, new M365 features and capabilities, and user stories.
With the seemingly overnight shift to working remotely for many of us, we are all learning to navigate and embrace the digital workplace together. We look forward to partnering with you and your agency to provide a user-friendly, reliable, secure, and seamless digital workplace—anywhere, across any state-issued device.
Recent Activities
On September 14th we announced changes to M365 project leadership (i.e., Jennifer de Jong is now Project Director and Terrence Woods is the Executive Sponsor) and re-capped many of the activities that had been undertaken during the state of emergency, including the accelerated migration of some 40 agencies to MS Exchange Online and deployment of multi-factor authentication (MFA). As the M365 project team has transitioned back to the work of M365 Foundations, we are working to finalize and baseline our project schedule. While many of the project tasks have been identified, the project now must consider the resources needed to execute the schedule.
Other recent activities include an Independent Risk Assessment. The independent quality management services (iQMS) vendor, SLI Global wrapped up interviews recently and is currently under review by Project Portfolio Performance (P3 oversight).

Current Activities
In terms of current activities, the M365 project team is focused on the following:

MS Exchange 2010 Migration. Given that Exchange 2010 will no longer be supported after October 13, 2020, we are prioritizing the migration of affected agencies to mitigate against the risks of business interruption and increased security vulnerabilities.

Microsoft 365 Hub. The Microsoft 365 Hub is a pre-built onboarding resource provided by Microsoft that we are tailoring to the needs of our agency partners. The hub will provide access to curated and up-to-date training and onboarding resources, toolkits, FAQs, and technical guidance. This will be available in the coming weeks for those who are in the Oregon tenant.

Organizational Change Management (OCM). We are currently onboarding an OCM consultant with NTT Data to provide change management support and develop OCM toolkits to assist agencies with M365 end-user adoption.

Upcoming Activities & Milestones
Looking at the weeks ahead, the M365 project team will be focused on:

Stage Gate 2 Endorsement . At this point, the necessary project artifacts have been submitted and are being reviewed. Once approved, we will work to complete our project plans, baseline our schedule and submit for Stage Gate 3 endorsement.

M365 Advisory Committee. The M365 Advisory Committee will have cross-agency-business-focused representation. The Committee will be tasked with identifying, analyzing, and making recommendations regarding M365 feature requests, configurations, integrations, and compliance requirements.

Assessing Technical Readiness. Agencies that need to migrate and do not currently have an existing Microsoft 365 environment will be receiving an email requesting the completion of a technical readiness assessment. This survey, due by October 30, will assist the project team in baselining the schedule.
