If you will be out on leave between today and Nov. 4, please make sure your time has been entered into Workday before end of day on Nov. 4. to make sure you will be paid on time.
You can now begin to sign up for a switchover appointment. If you're unsure whether your appointment is booked, you can look for your name in the far-right column. If viewing from a desktop, you can also use "Ctrl + F" to search for your name.
To sign up, you’ll select one appointment time and then hit the “Submit and Sign Up” button at the bottom. Please enter your name and OSDH email address on the next page. If you are unable to attend one of the available appointment times or have trouble signing up, please reach out to Gilbert Magdaleno.
Reminder — there is a pre-switchover checklist you must complete before going to your appointment.
- Ahead of our transition out of OSDH, you will need to read the OMMA Administrative Policies and Procedures. The OMMA polices can also be found at the top of our Transition page. You will need to review the policies and e-sign the signature page by Monday, Oct. 31.
- Your TEAMS phone number will switch to your OMMA Account by end of day Monday, Oct. 31. On Tuesday, Nov. 1 you will need set up the voicemail for your TEAMS phone. Use this guide if you need help.
- While we wait for all OMMA staff to switch over to their new accounts, we ask that you continue to use your OSDH accounts through Wednesday, Nov. 2. You will need to start using your OMMA accounts on Thursday, Nov. 3.
The last day to access Aragon or log into your OSDH email or SharePoint sites will be Saturday, Nov. 5.
You can join a daily transition Q&A meeting on TEAMS where you can chat with CTO Aaron Martin and Deputy COO Jenny Kellbach. Regarding auto-reply on Health email, when should we set that up? Is there a recommended date for that? Your @health.ok.gov email account is scheduled to go to read only on Nov. 5. Ideally, you should setup your auto-reply after your OMES computer switchover appointment and before end of day on Nov. 4.
Am I able to make room reservations with my new email now? If not, when will that service become available? Yes. If you log into your @omma.ok.gov account via the Office 365 portal in a private browser window, you can find conference rooms in the online Outlook application. Please note, OMMA rooms 414 and 304 are currently being transitioned from a @health.ok.gov to and @omma.ok.gov email as well, so you will need to reschedule any meetings in those rooms when they are available under @omma.ok.gov. Connors rooms 400, 402 and 403 are under the OMES scheduling and will remain available as is.
For the "Computer Update" sign up genius, there are two separate events: OMES Tech Update and Computer Update. Are these the same switchover appointments, or do we need to sign up for each separate appointment? Yes. We apologize for the confusion. They were the same appointments. It has since been updated and it appears as the same one now.
When I attempt to put my state phone text messages into my state phone iCloud, a box pops up that says "Messages in iCloud not available because iCloud and iMessage accounts are different." However, I thought part of the transition checklist is transferring state phone messages to the iCloud? Thank you! Please call the OMES HelpDesk. There is an iMessage security feature that may be causing the issue. If the HelpDesk cannot resolve th problem, you will need to take screenshots of your text messages and save them to OneDrive.
With our LinkedIn accounts for self study/learning, do you suppose those accounts will be transitioned over with our switchover appointments or will we have a new account set up with our omma.ok.gov account? Yes, your LinkedIn accounts will be transferred over. However, this will not occur until all OMMA staff are set up in Workday after Nov. 5. We will send additional communication to staff when they can test to see if their accounts have been transferred.
