COVID-19 Vaccines Order Fulfillment: Process Changes

Dear Provider,     

Please read important information about changes to the COVID-19 vaccine order fulfillment and deliveries for next week, May 21-26, and moving forward into future weeks.

This message covers all COVID-19 vaccine orders created and submitted in OSIIS and via emails (small batches of Pfizer) from May 11 through May 17, and for future weekly orders.

For providers located in TULSA COUNTY, orders for Moderna, Pfizer, and Janssen vaccines will be fulfilled by the Tulsa City-County Health Department.

Contact information for the TCCHD:

For providers located in ALL OTHER COUNTIES, we will use the following process:

  • Moderna vaccine orders will be fulfilled by your local County Health Department.
  • Janssen and Pfizer vaccine orders will be fulfilled by the State Department of Health Warehouse located in Oklahoma City.

Shipments for all vaccine types will be delivered next week by the National Guard during your normal business hours.

When frozen shipments arrive, vaccine trays will need to be placed into your facility's cold storage unit.

Shipping containers will not be left with the vaccine.

You will be contacted by a member of the County Health Department to coordinate these deliveries on a weekly basis. Please ensure the correct primary point of contact, and email/phone information, is correct and maintained in the OSIIS system. If you have not heard from a member of the County Health Department by Thursday of each week, please reach out to the Immunization Service at VaccineHelp@health.ok.gov

For ALL providers: Vaccine shipment and storage

* Vials stored in the freezer may be returned one time to ultra-cold temperature storage -80ºC to -60ºC (-112ºF to -76ºF).

For ALL providers: Adding vaccine into your inventory in OSIIS

  • As soon as you receive shipment, add this shipment into you On-Hand Inventory.
  • Vaccines will show up as a Transfer (not Pending shipment!) on the On-Hand Inventory page.
  • Use this tip sheet to accept transfer.
