EdPlan Enrollment Updates

Many of you are anxious to see your transferring students in EdPlan. OSDE and OMES (the state’s IT agency) are working diligently to push enrollment data into EdPlan and to transfer all associated records. We are in the process of testing the file transfers to ensure that students show up where they should and to address all dual enrollments. Updates should begin this Friday, although you may not see changes until Monday or later.

There are a few issues that will delay enrollments into EdPlan and record transfers once file updates begin. Any validation and STN errors WILL prevent updates from reaching EdPlan. Ownership errors MAY prevent updates to EdPlan. Please resolve all of these as quickly as possible.

To assist with the process, OSDE-SES and the Office of Data & Information Systems (DIS) have created a FAQ document for your reference. Please read this document carefully before you contact PCG or OSDE-SES about missing records. Most issues will be resolved by following the FAQ recommendations. Files will process more quickly if your SIS administrator resolves local validation, STN and ownership errors as soon as possible in the Wave Portal wizards. Once file processing begins, in most cases you should contact DIS to resolve any remaining issues (as described in the FAQ).

Dynamic Learning Maps

Districts,

Our partners at the Accessible Teaching, Learning, and Assessment Systems center at the University of Kansas are planning to submit a grant proposal to support development and pilot testing of an online system to support teachers in providing writing instruction aligned to the Dynamic Learning Maps English language arts Essential Elements. We are excited about this project and believe it can be beneficial to teachers and students with significant cognitive disabilities. But we need your help by Wednesday, 8/14!

In support of the grant application, we are looking for districts that would be willing to provide a letter of commitment to the project. A commitment would involve:

  • Recruiting teachers to participate in the project once it is funded; and
  • Providing information to the project staff about the procedures for gaining permission to conduct external research in the district, so teachers may participate in data collection about the effectiveness and impact of the project.

If you can help, please modify the attached letter template and return it to atlas-aai@ku.edu by Friday, August 16. Earlier is preferred. Thank you.

Classroom Awareness

The Looking Glass, a mentor agency for Sooner Success has developed a guide for schools that offers lots of practical advice for teachers at the elementary level. One of the concerns raised by parents in the community last year was that they felt school often didn't know how to include them or support their participation in school activities. Registration now open!

The fall in-person data and compliance training seminars have been scheduled for the first week of September and are now open for registration. Special education directors and Superintendents should attend to review the child count reporting requirements and learn about updates to the differentiated monitoring process. Christa Knight will also share “news you can use” about EdPlan and other new initiatives. Please refer to the training notice for information about dates, times and locations. The data team will also host a child count reporting webinar if you are not able to attend in person.

Part C to Part B Regional Transition Training Save the Date Update

OSDE-SES in partnership with SoonerStart will be hosting regional transitional trainings in October 2019. These training opportunities will be centered on effectively transitioning students (and families) from an early intervention program under Part C to the child’s next program. The goal of the training is to help Part C and Part B programs develop collaborative State and local practices to ensure smooth transitions for children (and families) and to ensure programs meet federal compliance.

Save the Date: CORTICAL VISION IMPAIRMENT (CVI) DIANE SHELINE

Children who have CVI or other forms of brain damage often have unique visual and learning needs. They benefit from the use of specific educational materials, strategies and often, environmental adaptations. Diane Sheline will present information about CVI and share a variety of “CVI Friendly” educational strategies; interventions and teaching materials to help your students/children with C/CVI accomplish their goals.

OTI Save the Date

The 14th annual OTI is almost upon us. They will hold a one-day event in OKC and Owasso on the same exact day. There will be a keynote, breakouts, and a single, long team meeting. Lunch will be provided in each location. Teams will attend the locations designated below. There will not be a call for presentation proposals this year due to the changes. Project 613 funds may also be used.

OTI Webinar

The Oklahoma Transition Council is hosting their fourth webinar series this year. The webinar is free to attend and will be on Wednesday, August 14 9:30-10:30 a.m. It will be focused on practical and useful tips to increase student and staff knowledge of employment.

Due to high demand, as of 7/30/2019, Seven (7) more Goal Progress Monitoring  and Summer Updates trainings have been added  ( 3:30 on August 1, 5, 6, 7, 8, 12 and 13)

EdPlan is providing 2-hour webinars in August.  The webinar schedule is located in EdPlan on the Main page at the bottom under Documents.  Click on the Help Links tab and click on EdPlan August Webinar Schedule. 

Once the document is opened, you can choose which date and time works best.  To register for a particular webinar, click on the Registration Link next to the one you want to attend.

August Webinar Topics:

Admin New Year Start–UpThis webinar benefits EdPlan Administrators that have the new school year start-up responsibilities.  Training will cover set-up for calendars, reporting periods, caseloads, EdPlan Administrator permission and rights, advanced student search, etc.

Goal Progress Monitoring and Summer Updates – Benefits users reporting on student progress.  This is an introduction to the new Goal Progress Monitoring (GPM) module which will include setting up goals and objectives for GPM for a new IEP and an existing IEP, connecting goals to services, entering the student data, reports and changes to OK EdPlan over the summer.

EdPlan ConnectBenefits EdPlan Administrators setting up the EdPlan Connect - Parent Portal for the district as well as users that are sharing documents/records with parents via EdPlan Connect.

IEP Process –Benefits users responsible for student IEP’s.  We will cover caseload and student organization as well as how to create a compliant IEP in EdPlan.

Eligibility Process – Benefits users that are responsible for Eligibility Determination for students.  We will cover an introduction to completing the Eligibility Process in Edplan.

504 Process – Benefits users that are responsible for the eligibility and the creating a sec. 504 Student Plan. This webinar will cover the navigation of EdPlan 504 process.

Creating a Goal Bank – Benefits users responsible for writing goals and objectives.  We will cover how to create an individual user Goal and Objective bank based on the user log-in.

The Oklahoma State Department of Education, Special Education Services, will once again be providing hands on training for budget completion and approval. This training will address the budget approval process for IDEA Part B. Please send the person responsible for completing the online budget application. Participation is limited. Bring your laptop computer (with Internet capability) and a calculator. To register please click the link to the location you want to attend. Receive one bonus point toward the district’s Risk Assessment with the attendance of a finance representative.

School Based Health Services

School Based Services Participation Agreement is now available through the Grants Management System. All districts choosing to use this agreement may begin completing their online application. Follow these steps for application completion.

1. Go to "GMS Access/ Select" and scroll to available applications under IDEA.

2. Click "Create" on the line for "School Based Health Part". Once you have created the application it will appear under the applications.

3. Please agree to all assurances, upload the entire contract, and submit.
