In This Email:
Check your Employer Portal weekly for current employee effective dates. Always verify eligibility before assigning a quality benefit plan (QBP). QBPs should be assigned no earlier than the month before eligibility begins (e.g., assign in February for March 1 eligibility). Assigning too early may prevent the system from generating a subsidy letter.
Encourage members to check their Member Portal weekly to verify effective dates, review subsidy information and upload documents to help avoid processing delays. Mailed communications may take up to 30 days to arrive.

An employee eligibility number (EEN) is generated overnight after you add employees to a staff list through the Employer Portal. Employers should provide the EEN to employees so they can complete their online application.
If your business uses a professional employer organization (PEO), you must notify Insure Oklahoma. The PEO must be registered and active with the Oklahoma Insurance Department to maintain program eligibility. Insure Oklahoma verifies income through OESC and The Work Number (TWN). After two months of non-reporting, the system automatically removes income from member accounts, which may affect coverage. Keeping PEO information current helps prevent unnecessary disruptions.

The updated Agent of Record form authorizes information sharing but does not allow agents to make changes to employer accounts. To authorize account changes, the business owner or employer contact must assign the agent through the Employer Portal, where the agent receives a unique user ID.
Remember:
- Primary, agent and employee contacts may access sensitive information and make account changes.
- Each individual must have a unique user ID. Sharing IDs is strongly discouraged.
- Corrections to Social Security numbers on the employer staff list and incorrectly assigned QBPs must still be handled by phone.

To protect member privacy, Insure Oklahoma can share sensitive account information only with the active authorized representative (AR) listed on the member's account. Agents listed on the employer account who are not the member’s active AR may confirm whether coverage is active but cannot receive details about why coverage was terminated.
Thank you for your continued partnership. Keeping information current and regularly using the Employer and Member portals helps support timely processing and uninterrupted coverage.
