Agents submitting documents via email should limit each email to one employer group to avoid confusion. However, Insure Oklahoma strongly recommends using the Employer Portal for all submissions:

To maintain HIPAA compliance, a process update was implemented in September 2025. Under this new protocol, verification of ESI businesses must now be completed solely using the federal employer identification number (EIN), ensuring a more secure and standardized process.
To comply with HIPAA regulations, account details can be shared only with individuals listed as an authorized representative. Remember that authorized representative designations expire and must be kept current. Proper identifying information will be required to access or discuss account-specific details.
