OnBoard: Limited Release - Registration Resources / May 1 Deadline Reminders

Thanks to those of you who were able to attend last week’s OnBoard: Limited Release webinar focusing on how to access and manage users in preparation for OnBoard: Limited Release this summer. We hope you found the information helpful.

For those who were not able to attend, a recorded version of the presentation and a copy of the slide deck are both available on the OnBoard Resources webpage, along with a fact sheet and frequently asked questions for insurers.

We have developed a step-by-step registration guide and video to assist you with requesting access and assigning/managing roles.

IMPORTANT MAY 1 DEADLINE REMINDERS

As announced in Subject Number 046-1387, by May 1, 2021, payers must access the Medical Portal to assign the various user roles and notification email addresses needed for the processing of prior authorization request (PAR) submissions.  The resources shared in this message will assist you in accessing the Medical Portal and assigning user roles.

In addition, as announced in Subject Number 046-1338, payers must provide written notice to affected injured workers and their prescribing health care providers by May 1, 2021, stating that all refill and renewal medications must be filled in accordance with the New York Workers' Compensation Drug Formulary. Please see the Injured Worker Formulary Notification and Provider Formulary Notification for the required format.

 

Begin Preparing for Access

As we continue to prepare for the OnBoard: Limited Release system to be added to the Medical Portal this summer, there are a few steps that you can do now to gain access to the new system – and there’s a new section on our website that outlines the details.

On the new Medical Portal section of our website, you will find information regarding various applications that are available in the Medical Portal today (such as the Drug Formulary and MTG Lookup Tool) and OnBoard: Limited Release. We encourage you to review these pages to learn how to:

  • register for access to the Medical Portal (if needed), and
  • administer and manage user access, including the assignment of roles that will be used for handling of prior authorization requests (PARs) in OnBoard: Limited Release.

Details specific to your organizational type can be found below.

NOTE: Registration is not required for current users of the Drug Formulary system, and access will be provided automatically using your existing login credentials.  Online Administrators are responsible for adding any additional roles to existing users by logging in to their administration page.

Insurers, Self-Insured Employers, Third-Party Administrators

All payers (insurers, self-insured employers, and third-party administrators) can begin designating and maintaining their required contacts and assigning user roles for the review and response to prior authorization requests (PARs). The Drug Formulary administration page has been updated to allow payers to begin adding users and roles that will be used by OnBoard: Limited Release. For more information, including the roles needed for your organization and instructions on how to set these users up, visit the Medical Portal Access and Administration: Payers page on our website.

Help Spread the Word to your Pharmacy Benefit Manager and Medical Review Organizations

OnBoard: Limited Release will allow payers to designate medical review organizations and pharmacy benefit managers to handle PARs.

To ensure these groups are aware of next steps, registration requirements and their roles and responsibilities within the system, we urge payers to share this information with their preferred organizations, and urge them to sign up for OnBoard notifications to receive these communications directly in the future.

Pharmacy Benefit Managers and Medical Review Organizations

Early registration for OnBoard: Limited Release is now open for pharmacy benefit managers and medical review organizations.

We urge these groups to register now as an early step to prepare for the new system’s availability this summer. For details about registration and access, managing roles in the new system, and the responsibilities of your organization, visit the Medical Portal Access and Administration: Payers on our website.

Once registered, Online Administrators for medical review organizations and pharmacy benefit managers can begin designating and maintaining their required contacts and assigning user roles for the review and response to prior authorization requests (PARs). Visit our website for full details.
