PowerSchool End-of-Year Process       Sets Stage for 2017-18 School Year

By Penny May
Technology Support Center Supervisor

NC Department of Public Instruction

Penny May

With the current school year almost over, North Carolina districts and charter schools will soon be preparing for the 2017-18 year and using PowerSchool to officially turn the page from one school year to the next. The End-of-Year process in the PowerSchool student information system means rolling forward everything from school calendars to grade-level enrollments for a successful start of the new year.

Mark your calendars

When: July 1 (Saturday)

What time: Estimated start time - 8:00 a.m.

What’s new for EOY 2017

Starting with the current school year, the End-of-Year process in PowerSchool will be run by each individual district and charter school. This means the designated EOY Contact will be clicking the button to initiate the process for their district, as well as completing all post-EOY validation documentation. The Department of Public Instruction’s Technology Support Center staff and Training Team will be monitoring throughout the day until the last district and charter school has completed the process and any associated post-EOY documentation has been submitted to DPI.

Currently, DPI’s EOY Coordinator is working on assigning each district and charter school to a Technology Support Center analyst. Once completed, each analyst will be the main point of contact for the assigned group of districts from start to finish for all EOY activities. A completed list of districts and charter schools and their assigned analyst will be provided. Any questions related to the end of year process should be addressed with the district or charter school’s EOY point of contact.

Last week's “Wired Wednesday” focused using SAS resources with students. Reminder: you must have students assigned to you to be able to “assign the assignment” and you will need Java for some of the SAS resources. If you missed this webinar, you can access this on the webinar tab of our NC: Home Base Schoolnet Professional Learning Plan

Our last webinar for this year is Wednesday, May 24. Please remember to check this splash every other Wednesday for updates and submit concerns to your district representative if a help desk ticket is required.

Quick Tips

Classrooms for Teachers

Have you ever found an instructional material or item that you think needs to be reviewed for alignment or content? If so, we appreciate you embracing your “professional role” in selecting resources and assessment items that meet their students’ individualized needs.

This does require vetting resources and differentiating them for personalized learning. We do vet content added in the system, but sometimes materials that feed directly into Schoolnet from outside resources are vetted under their system’s requirements.

Whenever content or items in Schoolnet need a second review, we are happy to assist. Based on your recommendations, we have added a NEW Item Reporting Tool so teachers can now report items or instructional materials that may need a second review. You can access this in the Splash where you see NEW!! Item Reporting Tool. Please use this link to report instructional materials and items for review http://bit.ly/hbsnitems

We have also added a “Student Search” area for teacher to look up student to your Homepage.

Classrooms for Leadership

Leadership can also report items for a second review using the new Item Reporting Tool. Look for it in your Splash area.

Upcoming Professional Learning

Check with your district level Schoolnet lead (click here). They will determine if they have the staff to provide the professional learning or if they need to request a district training. If the lead can host a district training, please have them contact a DTL Regional Consultant for more details.

Upcoming Webinars

Maintenance

Maintenance Weekend Starts Friday

Home Base maintenance weekend is scheduled for Friday, May 19, through Sunday, May 21.  At this time, PowerSchool is the only Home Base application scheduled for maintenance.

PowerSchool will be brought down Friday at 5 p.m. and returned to service no later than Monday at 6 a.m.  Once maintenance is complete, a message will be sent to notify users that the system is up and available for use. If there is a delay in bringing up the application, users will be notified as well.

NCDIT Patching

The NC Department of Information Technology (NCDIT) will be performing their monthly Linux services patching, including the UID Systems servers, this Sunday, May 21,  between 4 a.m. and 12 p.m. The Staff and Student UID systems will be unavailable during this time. Therefore, please do not enroll, transfer and/or update student demographic information in PowerSchool during this period.

Home Base

Home Base Opt-In Update

The Home Base Opt-in process has been working nicely with the new tool.  As of today, 71 LEAs and 30 charter schools have opted-in for the 2017-18 school year.  To see if your district has made a decision yet, please click here.  For additional information about this year’s opt-in process, please check out the opt-in page on our Home Base website.

To ensure access to Schoolnet and local professional development components in Truenorthlogic by the start of the school year, a response by your district finance officer must be submitted by the June 16th deadline.  If you have any questions, please contact Jamie Woodlief, Project Coordinator, at jamie.woodlief@dpi.nc.gov or 919-807-3745.
