The MT Education Data Reporting Team serves Montana students by assisting education agencies with Infinite Campus data reporting and providing accurate and timely education data to other OPI units for state and federal reporting.
Infinite Campus Data Collections
The Data Collection Schedule contains a complete list of all data collections occurring throughout the year. The following Data Collections are due in February. The turnaround time for this collection is very short. Please be sure to run all collection validation reports and make necessary corrections prior to certification.
Spring ANB Collection - February 4, 2025, through February 14, 2025 - Certification Required Enter or calculate Aggregate Hours and Spring Absences for students enrolled on February 3, 2025. This collection includes students enrolled in the MT Youth Challenge, Job Corps, MT Digital Academy (or other online platforms), and Classroom-Based Early Literacy Programs. Students who were counted in grade 12 on the Fall Count Date but have completed requirements prior to the Spring Count Date may be included as Early Graduates (complete Diploma Date, Type, and Period. Districts should verify that students participating in the Educational Savings Account (ESA) program must have an ESA flag. Home-Based Early Literacy and Extracurricular Participants must have their program indicated in the student's enrollment. Students absent 11 or more consecutive days, as of the Spring Count Date, Kindergarten students under 5 (as of September 10, 2024), and students receiving educational services at a private, non-sectarian day treatment center should be marked exclude ANB. Non-resident students must have a District Residency record created to identify the student's resident district.
Certified data is imported to the MAEFAIRS system for the calculation of Average Number Belonging (ANB). ANB is a primary component of a school district budget.
Spring Teacher Class Collection - February 4, 2025, through February 14, 2025 - Certification Required Verify courses (NCES Code, Section Information, Teacher of Record, Rosters) for students enrolled in the second semester of school. Verify 2nd semester CTE courses, including roster counts, course code, Teacher of Record, and course minutes for students enrolled between the October Count Date and February 3, 2025. Indicate the Pathway(s) for all CTE Courses and indicate Work-Based Learning and the Partner on the Course Information tab, where appropriate.
Teacher-Class data is a component of school district accreditation and drives a district's CTE funding.
MAST Assessment Window 2
MAST Test Window 2 - January 13, 2025, through February 21, 2025 The second MAST Test window is fast approaching! Please process all records transfers in a timely manner during this time to ensure that students have access to testing materials. Also, ensure that all Evaluation Reports and IEPs are completed and locked.
Other Reminders
New Look in Infinite Campus: Effective July 2025, the new look in Infinite Campus will be the only option for districts and the classic look will be deprecated. The new Infinite Campus experience contains all the same tools as the classic view and includes several improvements. Cohort Data - Date First Entered 9th Grade: Please ensure all high school students have their Date First Entered 9th Grade field populated under the Graduation Tab. Student Photos Needed: Please remember to collect the Student Photo Opt-In information from parents as they register their students OR as they update their annual census information. Districts are required to provide information on the repository and information about how to opt in (20-7-1317, MCA). Once parental consent is obtained, districts must upload the students’ photos into Infinite Campus and set the Opt-In Status to 1: Opt-In. Photos are used by the Department of Justice to help find missing children. See our AIM District Student Photo Repository user guide for additional information. We have published a new Validation Report to verify the status within the district: All Photo Repository Opt-In Status.
Updating Contact Information: Please update your contacts whenever there is a change in staff or contact information at your district, school, or educational agency. Contacts may be designated by role (Superintendent, Clerk, Secretary), school (EL/HS), or responsibility (enrollment, personnel, programs, certification). Instructions may be found on our webpage.
Gifted and Talented Students: Students who are evaluated and/or identified as gifted and talented must be identified on the new Program Participation tab: Gifted. Enter the Date Evaluated and the Date Identified (if applicable). The fields are the enrollment tab will be deprecated for the 25-26 school year. The new fields will reduce future data entry, as records do not have to be re-entered with each new enrollment.
