AIM Data Collections
The AIM Data Collection Schedule contains a complete list of all AIM data collections occurring throughout the year. The following AIM Data Collections are due in August and September.
Summer Jumpstart 8/19/2024 through 8/30/2024 - Certification Required to Receive ANB Funding The summer Jumpstart certification collects the following information for students entering grades KF through 3 in the 24-25 school year:
- Calendar: Students must be enrolled for a minimum of 4 weeks and 120 hours. The calendar must include Term, Period, and Day Setup, be marked as J: Jumpstart, and (for the 24-25 year only) start on or after July 1, 2024.
- Enrollment: Students must have an enrollment in grades KF to 3 for the 24-25 school year. The enrollment must start on or after July 1, 2024.
- Course: The district must create a course for the summer Jumpstart program with a properly licensed and endorsed educator and a roster of students assigned to that course.
- Attendance: The district must include attendance information for every student.
- Eligibility: The district must create an eligibility record for every student participating in the summer Jumpstart program.
School Year 2024-25 Calendars 7/1/2024 through 8/30/2024 - No Certification Required Districts must create Calendars for the 24-25 school year. At least one calendar must be created per school. Separate calendars must be created if students in the same school attend at different times (e.g., grades 4 and 5 attend school 30 minutes longer than grades KF through 3), students in the same school have different amounts of non-instructional time (e.g., grades K through 3 have 2-15 minute recesses that grades 4 and 5 do not), students in the same school attend different days (e.g., Early Literacy PK attends Monday through Thursday and grades KF-5 attend Monday through Friday), or students in different types of district programs (including Extracurricular Participation, Home Based Early Literacy, and Educational Savings Account Participation). Calendars must include the following:
- Calendar Type: Students in an instructional program must have Calendar Type I: Instructional or A: Alternative. Other programs must be indicated with O: Other.
- Grade Level: State-mapped grade levels for the grades assigned to the Calendar.
- Schedule Structure: At least one Schedule Structure must be assigned per Calendar.
- Periods: Create Period Schedules to reflect the times of instruction within the calendar. If the district has alternative schedule days (e.g., early release), create multiple Period Schedules. Only required for instructional Calendars.
- Days: Complete a Day Reset and assign Period Schedules to all the instructional days in the school year. Only required for instructional Calendars.
- Day Events: Create Day Events for Pupil Instruction Related (PIR) events and Parent-Teacher Conferences. Only required for instructional Calendars.
School Year 2024-25 Enrollments 7/1/2024 through 10/6/2024 - No Certification Required In preparation for the Fall Collections, districts must enter/verify student Demographics and Enrollments. This includes the following:
- Student Demographics: Includes Birthdate, Race/Ethnicity, Primary Home Language, and Language of Impact.
- Student Enrollment: Includes School, Calendar, Grade, Start Date, and Start Status (Note: students who do not start the year and have a documented transfer to another school should have their 24-25 school year enrollment deleted, and an appropriate End Status entered for the 23-24 school year). Students new to public school or the state must have a state ID created.
Early Literacy Eligibility
Summer Jumpstart, Early Literacy PK, Home Based Early Literacy: All 3 Early Literacy programs require the creation of an eligibility record for every student. Multiple records may be uploaded using the Federal/State Programs Updater tool. The eligibility record includes the following:
- Screener Date: The date the eligibility record is entered (no requirement to enter the actual test date).
- School Year: The school year the eligibility record pertains to.
- State Grade: The grade the student will participate in Early Literacy (may not match the student's current grade or the grade at the time the assessment was given - e.g., the student is tested in April of the Kindergarten year for participation the next year in grade 1).
- Eligibility Domain: Select one or more categories in which the student is eligible.
- Methodology Tool: The assessment is given to the student to determine eligibility. If the other is selected, must indicate the methodology tool used.
Fall AIM Trainings
Fall AIM Data Entry Workshops: The OPI AIM Unit is presenting a series of regional workshops. The workshops will be offered on September 11th in Helena, September 13th in Missoula, and September 27th in Billings. These will be half-day workshops, offered from 8:00 am to 11:30 am or from 12:30 pm to 4:00 pm. The first 45-60 minutes will be an overview of fall data collection requirements with the remainder of the session dedicated to work time - where AIM Unit staff will be available to assist and answer questions. Other Training Opportunities: The AIM Unit will be joining Infinite Campus the week of September 23rd for Fall User Groups. Please reach out to the AIM unit if you did not receive a registration link. We will also be partnering with other OPI divisions for the MSSA OPI Bootcamps - September 13th in Great Falls, September 16th in Butte, September 18th in Kalispell, and September 20 via Zoom.

Records Transfers: Requesting and receiving records transfers is important both for Special Education students and to ensure that student's program data is appropriately transferred with the student. New Look in Infinite Campus: Effective July 2025, the new look in Infinite Campus will be the only option for districts and the classic look will be deprecated. The new Infinite Campus experience contains all the same tools as the classic view and includes several improvements. AIM Reporting Cohort Data - Date First Entered 9th Grade: Please ensure all high school students have their Date First Entered 9th Grade field populated under the Graduation Tab. Use the Data Validation Reports in Infinite Campus to assist with data verification.
AIM Reporting Cohort Data - Removing a Student From the Cohort: To confirm that a student transferred out (is removed from the Cohort), the school or LEA must:
- Have official written documentation that the student enrolled in another school (End Status 160, 170, 180, etc.); or
- Have official written documentation that the student enrolled in a program that awards a regular high school diploma.
New Graduation Reporting Requirements:
- Enrollment End Status 410: Graduated Alt Authorized by MCA. Used for students who complete the MT Youth Challenge program, pass the HiSet assessment, and the district awards a student a proficiency-based diploma under 10-10-1402, MCA or the Superintendent of Public Instruction awards a diploma based on proficiency, perseverance, and dedication under 20-3-110, MCA.
- Diploma Type 05: State Minimum. Used for students who graduate with the state minimum credit requirements in lieu of district graduation requirements under 20-7-1330, MCA.
AIM Student Photos Needed: Please remember to collect the Student Photo Opt-In information from parents as they register their students OR as they update their annual census information. Districts are required to provide information on the repository and information about how to opt in (20-7-1317, MCA). Once parental consent is obtained, districts must upload the students’ photos into Infinite Campus and set the Opt-In Status to 1: Opt-In. Photos are used by the Department of Justice to help find missing children. See our AIM District Student Photo Repository user guide for additional information.
Updating AIM Contact Information: Please update your AIM contacts whenever there is a change in AIM staff or AIM contact info at your district or school. Contacts may be designated by role (Superintendent, Clerk, Secretary), school (EL/HS), or responsibility (enrollment, personnel, programs, certification). Instructions may be found on the AIM webpage.
