AIM Data Collections
The AIM Data Collection Schedule contains a complete list of all AIM data collections occurring throughout the year. The following AIM Data Collections are conducted in June, and are due as follows:
End of Year Collections, through 6/21/2024 End of Year collections will be due one week earlier this year - June 21, 2024. Certifications opened on May 13, 2024. Please add certifiers for Behavior Data, CTE Data, Extracurricular Activities, Full Year Attendance, Personnel Reporting Data, and Student Enrollment & Programs under Type Membership Setup in Infinite Campus. You need at least one Primary certifier (if you designate more than one primary certifier, all primary certifiers must certify before the collection is complete).
- End of Year Enrollment [Type Membership: Student Enrollment & Programs] - Create 24-25 calendars and roll students forward, enter End Date/Status for all 23-24 enrollments, review MT Youth Challenge, MT Digital Academy, and Job Corps statuses, and enter graduate data. Must be certified.
- End of Year Program Participation [Type Membership: Student Enrollment & Programs] - includes FRAM (free/reduced meal status), EL (English Learner), Immigrant, Homeless/Unaccompanied Youth, Gifted/Talented, Title I, Military-Connected, Foreign Exchange, and Section 504 student counts for the 23-24 school year. Ensure that all ERs and IEPs are locked. Verify 21st Century program status. Must be certified.
- End of Year Mode of Instruction - Enter Mode of Instruction for any student not in-person, full-time. Verify that the School Mode of Instruction matches the Student Mode of Instruction. No certification is required.
- End of Year Attendance [Type Membership: Full Year Attendance] - Enter or calculate ADA Days Present, ADA Days Enrolled, and ESSA Days Absent for any enrolled student in 2023-24. Must be certified.
- End of Year Extracurricular Activities [Type Membership: Extracurricular Activities] - Enter the number of completed activities for any homeschool/private school student participating in qualifying extracurricular activities for the year. Must be certified.
- End of Year Career and Technical Education (CTE) [Type Membership: CTE Data] - Enter/update pathway credits for all students taking CTE courses in the 23-24 school year, including identification of students who are single parent, students who are identified as Concentrators (2 or more credits in a single pathway), and students who participate in Dual Enrollment or Work-Based Learning CTE courses. Must be certified.
- Behavior Validation & Certification [Type Membership: Behavior Data] - Enter behavior incidents and resolutions for the 23-24 school year (see below). Must be certified.
- End of Year Terms of Employment (TOE) [Type Membership: Personnel Reporting Data] - Enter personnel information for any staff member/contractor employed in the 2023-24 school year. This collection replaces the Compensation Expenditure TOE formerly in TEAMS and is necessary for the completion of the Compensation Expenditure reporting in MAEFAIRS. Must be certified.
- End of Year Terms Teacher Class Reporting is not required this year. No data entry, verification, or certification is required.
- Special Education Exiting - Enter Exit Date/Reason for any student no longer receiving Special Education services in the 2023-24 school year. This collection is completed in a separate application.

MASBO Summer Conference: The OPI AIM Unit, in conjunction with Infinite Campus and School Services of Montana, will be providing opportunities for additional training at the MASBO Summer Conference. Our unit will be at the conference June 10-12, 2024. We will provide training and be available to work with districts on End of Year collections. Here's the schedule: MASBO Summer Conference
MAST Assessment Accommodations: MAST Accommodations for new IEPs and Amendments are available.
Accommodations for EL and 504 students (on the State Assessment tab) will be available this summer - as will the updated State Assessment report. The Smarter Balanced ELA and Math assessment accommodations will be removed as an option at the end of the school year.
Other State Reporting Updates: New reporting requirements for Gifted/Talented, Neglected/Delinquent, Out of District (Tuition) students, Educational Savings Account, and Early Literacy programs will be available for the 24-25 school year. Stay tuned for more information coming soon!
Other Reminders
Assessment Reminders: To ensure that appropriate accommodations are given, please verify that all Section 504 and English Learners (EL) students are identified in Infinite Campus (under Program Participation). Accommodations for individual students should be entered on the State Assessment tab. To view accommodations for Section 504 and EL students - as well as those indicated in an Individualized Education Program (IEP) - use the State Assessment Report (located under MT State Reporting).
AIM Reporting Cohort Data - Date First Entered 9th Grade: Please ensure all high school students have their Date First Entered 9th Grade field populated under the Graduation Tab. Use the Data Validation Reports in Infinite Campus to assist with data verification.
AIM Reporting Cohort Data - Removing a Student From the Cohort: To confirm that a student transferred out (is removed from the Cohort), the school or LEA must:
- Have official written documentation that the student enrolled in another school (End Status 160, 170, 180, etc.); or
- Have official written documentation that the student enrolled in a program that awards a regular high school diploma.
New Graduation Reporting Requirements:
- Enrollment End Status 410: Graduated Alt Authorized by MCA. Used for students who complete the MT Youth Challenge program, pass the HiSet assessment, and the district awards a student a proficiency-based diploma under 10-10-1402, MCA or the Superintendent of Public Instruction awards a diploma based on proficiency, perseverance, and dedication under 20-3-110, MCA.
- Diploma Type 05: State Minimum. Used for students who graduate with the state minimum credit requirements in lieu of district graduation requirements under 20-7-1330, MCA.
AIM Student Photos Needed: Please remember to collect the Student Photo Opt-In information from parents as they register their students OR as they update their annual census information. Districts are required to provide information on the repository and information about how to opt in (20-7-1317, MCA). Once parental consent is obtained, districts must upload the students’ photos into Infinite Campus and set the Opt-In Status to 1: Opt-In. Photos are used by the Department of Justice to help find missing children. See our AIM District Student Photo Repository user guide for additional information.
Updating AIM Contact Information: Please update your AIM contacts whenever there is a change in AIM staff or AIM contact info at your district or school. Contacts may be designated by role (Superintendent, Clerk, Secretary), school (EL/HS), or responsibility (enrollment, personnel, programs, certification). Instructions may be found on the AIM webpage.
Behavior/Discipline Reporting and Validation
Before you leave for summer…be sure to Certify Behavior Data 23-24
DEADLINE…The End of Year reporting deadline is June 21, 2024
REMINDER…Districts are strongly encouraged to input behavior data throughout the year and to periodically run Data Validation Reports in AIM/Infinite Campus to review incidents and address potential data issues before the end of the school year.
NOTE…Validation reports for Behavior data reporting are available in AIM/Infinite Campus and can be reviewed at any time during the school year and before certification. Behavior Certification for the 2023-24 school year will open on Monday, 5/13/24, and close on Friday 6/21/24.
QUICK UPDATE…The end-of-year behavior collection has been updated to ‘Behavior Data’ (previously ‘Behavior List to Certify’). Your district will need to setup a Primary Certifier/Member for the ‘Behavior Data’ certification.
FYI…all Montana public schools, including the Montana School for the Deaf & Blind (MSDB), must enter discipline data into their local AIM/Infinite Campus site. Behavior data collected by the OPI is used to meet federal reporting requirements for the U.S. Department of Education.
Behavior reporting encompasses any event that takes place from July 1 through June 30 and:
- Results in an out‐of‐school suspension or expulsion, regardless of the length of time, for any enrolled student; or
- Results in an in‐school suspension, regardless of the length of time, for an enrolled student with a disability* or enrolled in a 21st Century Community Learning Center (21st CCLC).
* In‐school suspensions may also be entered for general education students; however, the OPI will only include special education events for federal reporting.

Justin Willcut is the newest member of the AIM Team. He will be managing the help desk and is the primary point of contact for CTE data. Please help us welcome him to the team!
Justin was born and raised in Kalispell and has lived in Helena since 2002. After moving to Helena, he worked in several IT roles at the Montana Department of Transportation until leaving there in 2013. For the last 11 years, he has been self-employed as a handyman, Realtor, IT contractor, and as a staff member of a local church. He’s excited to again be working for the State of Montana and has the opportunity to serve and support Montana’s schools. Outside of work, he has been married for over 20 years and has 4 kids. Justin enjoys outdoor activities in the mountains and on the water and has spent the last several years involved with youth sports.
