AIM Data Collections
The AIM Data Collection Schedule contains a complete list of all AIM data collections occurring throughout the year. The following AIM Data Collections are taking place during the months of January and February and are due as follows:
Fall Teacher Class, Fall Personnel Certifications, final due date 1/5/2024
· Fall Teacher Class Courses, Fall Teacher Class Support Staff, Fall Personnel, and Teacher Incentive certifications were due December 20, 2023. However, we have extended the certification through January 5, 2024, for any final adjustments. Districts should run all the validation reports and review the certifications for these collections before the data is finalized. Districts that make corrections may re-certify by clicking Certify & Submit on the Event Dashboard through January 5.
Fall Career and Technical Education (CTE), due 12/31/2023
· This collection officially ends on 12/31/2023. If there are additional corrections to be made, please contact the AIM helpdesk for assistance.
Spring ANB Collection, due 2/13/2024
· The Spring ANB collection is the second student enrollment count for ANB funding. The count date is Monday, February 6, 2024, and is due no later than February 13, 2024. This is a solid deadline, as the School Finance team needs time to process data sheets for the statutory March 1, 2024, deadline. Please review enrollments prior to the February 6 count date and be prepared to review and submit in a timely manner. This collection includes Early Graduates (requires End Date with End Status 400, Diploma Date, Diploma Type, and Diploma Period of 01 or 02), Absent Counts (for February 6, 2024), Montana Youth Challenge, Job Corps, and 19/20 Eligible for ANB. Validation Reports may be run at any time.
Math, English/Language Arts, Science Test Registration, through 5/24/2024 Assessment registration begins in January, with regular updates from the OPI to the test portal. Please review enrollment, demographic, and program participation information (including English Learners and Special Education) for students in grades 5-8 regularly during this time period.
Other Reminders
AIM Reporting Cohort Data - Date First Entered 9th Grade:
Please ensure all high school students have their Date First Entered 9th Grade field populated under the Graduation Tab. Use the Data Validation Reports in Infinite Campus to assist with data verification.
AIM Student Photos Needed:
Please remember to collect the Student Photo Opt-In information from parents as register their students. Districts are required to provide information on the repository and information about how to opt in (20-7-1317, MCA). Districts must then upload the students’ photos into Infinite Campus, so the photos in AIM with the Opt-in value can be used by the Department of Justice to help find missing children. Updating AIM Contact Information:
Please update your AIM contacts whenever there is a change in AIM staff or AIM contact info at your district or school. Instructions may be found on the AIM webpage.
