AIM Data Collections
The AIM Data Collection Schedule contains a complete list of all AIM data collections occurring throughout the year. The following AIM Data Collections are taking place during the month of October and are due as follows:

Calendar Certification 2023-24
· Districts must certify their calendars for 2023-24. This includes overall Aggregate Hours and PIR time. Districts must enter their terms (to the lowest common denominator - e.g., quarters, trimesters), their period schedules, and their school days. The certification date for this collection has been postponed. Please check the AIM State Announcements within Infinite Campus and the AIM Webpage for updates.
Graduate, Dropout, and Cohort Collection, due 10/18/2023
· The Graduate, Dropout, and Cohort Collection is for state and Federal reporting of Graduates, Dropouts and Cohorts from the prior school year. This includes students who complete graduation requirements prior to the first day of school and dropouts from the prior year who return to school on or before September 30, 2023. Certification is required.

Fall Enrollment 2023-24, due 10/18/2023
· The Fall Enrollment collection is used for Federal reporting and includes primary enrollments for grades PK through 12, gender, and race/ethnicity. This is being certified separately from Fall ANB. Certification is required.
Fall ANB Collection 2023-24, due 10/18/2023
· The Fall ANB collection is the first of two collections used to determine school district budgets for FY 2025. This includes both Primary and Secondary enrollments, Aggregate Hours (part-time enrollment), grades KH/KF through 12, MT Youth Challenge, MT Digital Academy, Job Corps students, American Indian student counts, Indian Language Immersion Programs (ILIP), and 19/20 eligible for ANB. KH/KF students not yet 5 as of September 10, 2023, must have individual board approval and be enrolled in Kindergarten to be eligible for ANB. PK students who are 5, as of September 10, 2023, but receiving instruction in a PK setting must be enrolled in Kindergarten to be eligible for ANB. Certification is required.
Data must be certified in AIM prior to import into MAEFAIRS. No changes will be allowed after 10/18/2023.
Fall Program Participation Collection, due 10/18/2023
· The Fall Program Participation Collection is used to report Federal Program Participation. This includes Free/Reduced Meal Status (FRAM), English Learners (EL), including Title III, Title I, Neglected & Delinquent, Homeless, 21st Century, Gifted & Talented, Immigrant, Section 504, Migrant and Foster students. Certification is required.
Fall Mode of Instruction Collection, due 10/18/2023
· The Fall Mode of Instruction Collection must be completed only for students who are not in-person, full-time. Verify that the school Mode of Instruction matches the student Mode of Instruction. No certification required.

OTHER REMINDERS
AIM Reporting Cohort Data- Date First Entered 9th Grade:
Please ensure all high school students have their Date First Entered 9th Grade field populated under the Graduation Tab. Use the Data Validation Reports in Infinite Campus to assist with data verification.
AIM Student Photos Needed:
Please remember to collect the Student Photo Opt-In information from parents as register their students. Then please follow up with importing students’ photos into Infinite Campus, so the photos in AIM with the Opt-in value can be used by the Department of Justice to help find missing children. See our AIM District Student Photo Repository user guide for additional information.
Updating AIM Contact Information:
Please update your AIM contacts whenever there is a change in AIM staff or AIM contact info at your district or school. Instructions may be found on the AIM webpage.
