AIM End of Year Data Collections
The AIM Data Collection Schedule contains a complete list of all AIM data collections occurring throughout the year. The following AIM Data Collections are taking place during the month of May and are due by June 30, 2023.
End of Year Enrollment Process
· The End of Year Enrollment Process is the process of creating 2022-23 calendars and rolling students forward into the next calendar year. It also entails ending all 2022-2023 enrollments, including MT Youth ChalleNGe, Job Corps and MTDA students.
End of Year Attendance Totals
Enter or calculate the End of Year Attendance Totals and End of Year Program Participation data, which must be entered after the last day of school. This includes entering or calculating ADA #Days Present, ADA #Days Enrolled and ESSA #Days Absent for each enrollment in 2022-23. Certification Required
End of Year Program Participation
Verify the following programs for students who participated at any time during the school year: Homeless, Title I, Title III, English Learners (EL), Military Connected, Section 504, Special Education, Gifted and Talented (Identified and Evaluated), Immigrant, Foreign Exchange, and FRAM. Districts will also need to verify student demographic records. Certification Required
End of Year Extracurricular Activities
Enter the number of extracurricular activities a non-public (homeschool or private school) student has completed and calculate students' participation by completing the fields labeled Number of 6+ weeks and Number of 18+ weeks as necessary in the student's enrollment tab. Certification Required
End of Year Mode of Instruction
Enter the Mode of Instruction for all schools in the 22-23 school year. Enter Mode of Instruction for all students who had a Mode of Instruction other than 01: Full-time In-Person (in-person only, no times of remote instruction). Students without a Mode of Instruction record will be defaulted to "Full-time In-Person".
End of Year CTE Collection: 5/9/2022-6/30/2022
· The End of Year Career and Technical Education (CTE) Collection identifies all grades 9-12 high school students who have completed (or will complete) at least 2 credits, 4 semesters, or more of CTE coursework in an approved Montana Pathway. It also identifies those students who have earned less than 2 credits in a Pathway, qualifying them as a Participant, rather than a Concentrator. Certification Required
Behavior Validation and Certification
· This is the process for setting up user access for validating and certifying district data to the OPI. This process helps determine who is the Secondary person (responsible for validating and error correction) and the Primary person who is also called the Authorized Representative (AR) who is responsible for certifying the behavior data after it has been verified by the Secondary person. AIM Updates
TEAMS Conversion:
The OPI will be transitioning many components from the TEAMS system to AIM in the Fall of 2023. Please stay tuned for more details. In the meantime, it would be helpful if districts entered the SEID number for all staff members currently in AIM into the State Staff ID field. There are many duplicates across the state, and this step would help us to match and clean up those records.
AIM Reporting Cohort Data- Date First Entered 9th Grade:
Please ensure all high school students have their Date First Entered 9th Grade field populated under the Graduation Tab. Please review our Reporting Cohort Data AIM User Guide for instructions on how to complete this field.
AIM Student Photos Needed:
Please remember to collect the Student Photo Opt-In information from parents as register their students. Then please follow-up with importing students’ photos into Infinite Campus, so the photos in AIM with the Opt-in value can be used by the Department of Justice to help find missing children. Updating AIM Contact Information:
Please submit the AIM Contacts Update Form on the OPI AIM website whenever there is a change in AIM staff or AIM contact info at your district or school.
