AIM Data Collections
Alternate Assessment Test Registration Collection - 12/1/22-4/28/23
- Enter and verify demographic and enrollment data for students with significant cognitive disabilities enrolled on 11/30/2022.
- Verify Statewide Assessment section of the locked IEP is marked appropriately to register students needing the Alternative Assessment.
- Enter and verify demographic and enrollment data.
ACT with Writing Test Registration - 12/1/22-5/4/23
- Enter and verify demographic and enrollment data for students in grade 11.
- The OPI will upload student data to the Pearson Access Next (PANext) online test delivery system.
Montana Science, Math and English Language Arts Test Registration - 1/1/23-5/26/23
- Enter and verify demographic and enrollment data for students in grades 5-8.
- Maintain student data during this collection period.
- The OPI will upload student data to the TIDE online test delivery system.
Test Window Enrollment Count and Program Participation Collection - 4/6/23-5/26/23
- Enter and verify enrollment and demographic data for all students, including MT Youth ChalleNGe, Job Corps and MT Digital Academy students enrolled on 4/6/23.
- Verify FRAM (meal status), EL (English learner), Immigrant, Homeless/Unaccompanied Youth, Gifted & Talented, Title I, Military-Connected, Foreign Exchange, and Section 504 students enrolled on 4/6.
- Verify that SPED IEP and ERs are locked.
- Verify 21st Century data in AIM and check the OPI AS21 system.
Test Window Validation Reports
Please use the reports created under Data Integrity Tools>Data Validation>Data Validation Report. When running these reports select the State Dataset option. This will show you the information that has been synced to the state. If there are discrepancies between the Local Dataset and State Dataset go to System Administration>Data Utilities>Resync State Data and select Enrollment. Scroll to the bottom and click Send Resync.
Students Not Appearing on Correct Test Rosters
We have had several calls about students not appearing on the correct test rosters. Here are a few scenarios and how to fix them:
1. Student is not showing in TIDE:
- Check the student's Service Type: Only students with a P: Primary Service Type will show up on the test roster.
- Check the student's enrollment date and grade. Students must have an active enrollment in the test window and be in the tested grade.
- Check the student's IEP. Students who are registered to take the ALT test will not show up on the TIDE roster.
2. Student is showing up in TIDE, but registered for the ALT test:
- Check the student's IEP to see if you have overlapping IEP dates. Students with multiple active IEP dates (one with and one without ALT indicated) may show up on both rosters.
3. Student is not showing on the ALT Registration:
- Verify that the student's IEP is locked and that ALT is selected for State Assessment.
AIM Special Education Data for Test Window
Please check your Special Education records to ensure that all completed IEPs and ERs are locked. Also, use the Test Accommodations (MT) Report (Student Information>General>Reports) and the MT State Assessment Report (MT State Reporting) to verify test accommodations for IEP, EL and 504 eligible students.
Coming Soon!! New TEAMS Reporting Requirements in AIM
The OPI will be transitioning many components from the TEAMS system to AIM in the Fall of 2023. Please stay tuned for more details. In the meantime, it would be helpful if districts entered the SEID number for all staff members currently in AIM into the State Staff ID field. There are many duplicates across the state, and this step would help us to match and clean up those records.
AIM Student Photos Needed
Please remember to collect the Student Photo Opt-In information from parents as register their students. Then please follow-up with importing students’ photos into Infinite Campus, so the photos in AIM with the Opt-in value can be used by the Department of Justice to help find missing children. Updating AIM Contact Information
Please ensure to submit the AIM Contacts Update Form on the OPI AIM website whenever there is a change in AIM staff or AIM contact info at your district or school.
