Patron Removal Form
MSC System Admins regularly remove long inactive patrons in batch to help keep the database and system tidy and it’s that time of year again! Please fill out this form by April 3rd. https://forms.office.com/g/KwREt6Zzzz
This process will only remove regular library user accounts - system users, SIP accounts, and library logins will not be removed.
This process only applies to public and special libraries. We will have a separate form for school and academic libraries during the “end of school year” period. School/Community libraries can use this form for their public patrons. This form will allow you to set the parameters for the inactive patron batch removal for your library. If you do not fill out this form, we will remove patrons who have been inactive since 01/01/2014.
We consider patrons inactive after a period of time when they have NOT:
-
checked out items
-
placed holds
-
paid fines
-
logged into MontanaLibrary2Go, Enterprise, BCMobile, or any 3rd party product connected through SIP
-
and do not have any existing checkouts or holds.
We use the "last activity date" on a patron record rather than expiration date as that is a more accurate date and many libraries no longer set expiration dates. Using that date and your selections in the form, we will clean inactive patrons out of the system in early April. The work will be done over several days to keep the re-indexing load on the system as low as possible.
Please check out our new BCA report, 'User Count by Last Activity Date- Yearly' located in Shared Reports > Users > Users Counts to get a count of how many users will be removed based on your selections in this form.
You can also use BCA to get a list of patron barcodes that will be run through the removal process with the 'User Last Activity - Barcode List' report in Shared Reports > Users > User Lists.

Join Keiley McGregor at MLA for Collection Analysis in the MSC Using BLUEcloud Analytics. MLA conference registration is required to attend this session.
Session description: Managing your collection isn’t just about inventory, it’s about asking if there are overlaps or gaps in topics, what your collection's strengths are, and when items have aged-out, even if they’re much-loved. Let's walk through running collection analysis reports in BLUEcloud Analytics (BCA) to start answering these questions for ourselves.
You are encouraged to bring your own laptop to follow along and run reports during the session.
