Workflows Update
All of our reports and processes ran correctly overnight. Scheduled notice reports are running without problems but are a bit behind schedule because of the length of the indexing process.
You may resume normal cataloging and report running but be advised that the report server is still catching up with the morning’s reports so there may be delays before they appear in Finished Reports. Please do not run the same report more than once, they are in the queue and will finish eventually. Please pass this information on to all library staff that are involved with cataloging/technical services or running reports at your library.
We expect there to be more instances of long running indexing processes over the next few weeks as we adjust system configuration to resolve the issue. We don’t expect that to cause the headings error or holds issues we’ve seen over the last week, but delayed morning reports are possible.
Working with SirsiDynix, we have identified a likely cause and are adjusting system configuration to alleviate the problem. Our indexing system generally handles between 5,000 – 20,000 bibliographic records per night, updating search databases as records are modified. Most records have between 5-20 indexed fields. But some records are much larger, with hundreds of indexed fields on them, and if large numbers of those records are modified it vastly increases the amount of time the indexing takes – which then delays all the reports scheduled after the reindexing.
We are currently adjusting our scheduled reports and the indexing process to minimize the impact long running reindexing has on the rest of our system. We will also be identifying and tracking the large records to determine what adjustments to our cataloging procedures might be needed. We will keep you informed as we continue to work on this issue.
