MSC-Discuss Google Group
Beginning January 1st, MSC staff will no longer send MSC updates and system alerts through the ‘msc-discuss’ Google group. MSC Staff will use the statewide GovDelivery platform to share important system information. If you are not already subscribed, please take a moment and sign up here.
Enterprise Notice Regarding BCMobile App
Later this week we will remove the notice on Enterprise regarding the BCMobile app. The mobile friendly version of Enterprise remains the best option for patrons to access the catalog and their account from a mobile device. Please continue to share the information found in our Knowledge Base (KB) article including the reassurance that the Libby/Overdrive app is fine.
LOST, LOST-ASSUM, LOST-CLAIM, & LOST-PAID
We’ve had an increase in questions concerning the various LOST statuses, so we thought that we would clarify what the difference is between LOST, LOST-ASSM, LOST-CLAIM, and LOST-PAID. Here are some quick blurbs, but more in-depth information can be found in our Knowledge Base (KB) articles.
LOST-ASSUM status: Items that are not returned within the previously set circulation guidelines determined by each library are changed to LOST-ASSUM by the Assumed Lost report. This report turns the checkout on the patron’s account to INACTIVE and adds a placeholder bill on their account and is still reflected as being checked out to that patron.
LOST-CLAIM status: Items that a patron has claimed to have lost and staff marked LOST via the ‘Mark Item Lost’ wizard. The ‘Mark Item Lost’ wizard changes the checkout on the patron’s account to inactive and the item is still reflected as being checked out to that patron. This wizard also bills the patron for the cost of the item.
LOST-PAID status: If items in a LOST-ASSUM or LOST-CLAIM status are paid for by the patron, a nightly report runs and changes the home location of the items to LOST-PAID but does not change the item’s status. Items with a LOST-PAID status need to be manually processed by staff in the system, unless you ask MSC staff to set-up an automated process for them. For example, some libraries have it set-up to move LOST-PAID items to REPLACE, LOST, or DISCARD.
LOST status: Items in a LOST status are items that have been moved by either the Process Long Overdue (PLO) report or by another report that MSC has set-up to automate for your library. Items in LOST will remain in the location until they are manually processed by staff, or an automated process is set-up by MSC staff. For example, some libraries have it set-up for items in a LOST status to move monthly to REPLACE or to DISCARD.
The BCA clean-up reports (found in the pathway: Shared Reports>Collection Maintenance>List Reports for Catalog Clean-up) have been adjusted to more clearly define this separation. If you’d like to learn how MSC staff can help automate some of these processes or if you have any other questions, please open a help desk ticket.
User Search Index Gadget in the User Display Wizard
We are cleaning up how the options in the User Search Index drop-down menu appear starting on Wednesday, December 20th. Some options will be removed, others condensed down, and one new functionality is being added to the menu. Please see the list below and open a help desk ticket if you have any questions.
The following items will be removed as they are not in use or are not the best way to search the system: License, SSN, Student_ID, and Web_Authentication.
We’ve condensed several options into one search option, PHONE, which searches every phone number field.
We’ve condensed several options into one search option, Card #, which searches every barcode field.
The Notes field in the User Extended Info tab will be merged with the Comments field so a search will look at both fields. The new field will be labelled Comments/Notes. Please note that these fields are not indexed and may not be a reliable means to search the user record.
REMINDER: 2024 Closed Dates Survey for Publics & Specials
Public & Special Libraries - please fill out the 2024 closed dates survey whenever you know your library’s closure dates for the calendar year: https://forms.office.com/g/n5639cn2ge.
This survey will close January 2. If you miss the deadline, or if you are a school or academic and you missed the fall survey please put in a help desk ticket.
Did You Know?
"Ghost fields" are created when you do not use the red "X" icon when deleting information in a user account or item record. "Ghost fields" clog up the system and induce errors in BLUEcloud Analytics (BCA) reports.
If you delete the text inside the field rather than the field itself, a "ghost field' is created.
