We are excited to announce the very first Office of Administration 5S Challenge! You are likely wondering, what is 5S? The 5S pillars are a Lean tool that provide a methodology for organizing, cleaning, developing, and sustaining a productive work environment. This method was developed in Japan and was one of the techniques that enabled ‘just-in-time’ manufacturing.
In a 5S workplace, there is a place for everything and everything is in its place. Workplaces should function in such a way that they are clean, organized, orderly, safe, efficient, and pleasant. A functional workspace results in improved quality, fewer accidents, and greater efficiency.
5S stands for:

Sort (Seiri): items in the workplace are sorted into those that are needed, and those that are not. You should do this with a team of people who use the tools and workspace regularly.

Set in order (Seiton): organize whatever remains from the previous step. Items should be neatly arranged and identified or labeled.

Shine (Seiso): clean the workspace and items that were organized in the previous step. As part of this step, you should define and document what entails a clean workspace.

Standardize (Seiketso): standardize the processes used to sort, order, and clean the workplace.

Sustain (Shitsuke): maintain your space. Create and implement a plan for communicating how to use the 5S system, expectations for use, and auditing to ensure things are being sustained.

The OA OpEx 5S challenge will help teams identify a part of their work area (physical or electronic) that could use a 5S polish, and demonstrate the improvement has been sustained in the work area. Team members that participate will be asked to submit pictures and a brief description of the before, during, after, and sustained phases.

The 5S challenge promotes workplace efficiency and safety to improve working areas, which will allow OA team members to provide Missouri citizens with, “Excellent customer service, every time.” Team members are encouraged to continue their improvements beyond the 5S challenge and start new projects within their divisions.
The winning team will be awarded a 5S trophy, and challenge coins will be handed out to members of the winning team. Additionally, the winning team will be recognized electronically.

Scope:
In:
- Four weeks for the 5S process.
- Electronic or physical spaces (ex: shared files/SharePoint sites, supply closets, maintenance areas, physical file storage, or working areas in shared spaces).
- Individual spaces (ex: workplace desk).
- Teams are not to exceed eight members.
Out:
- Cannot be an ongoing process as the challenge has an end date.
- Prior to beginning the challenge, no part of the 5S process may have been started.

All OA team members, excluding directors and deputy directors, are eligible to participate. Team sizes can range from 1-8 members. Once participants have documented their 5S project from the before, during, after, and sustained phases, they can submit their project for review and judging. Make sure to include pictures of things that seem strange or out of place along the way!

- A Lunch and Learn will be held on June 25, 2024. We encourage all challenge participants to attend and learn important information so they can be successful in the challenge. Click here to register!
- The 5S Challenge will run July 1-26, 2024.
- Challenge improvements will be sustained July 27-August 9, 2024.
- Project information will be due by August 9, 2024.
- Winners announced at the end of August.
