We understand that you may have questions about the this tracking form. Every agency has been tasked with collecting real-time employee status data and reporting that information to Minnesota Management and Budget.
Why is MPCA’s directions for reporting employee status daily different than the instructions on the form used by employees to report their status?
This is an enterprise form being used by all state agencies and the instructions cannot be modified. Agencies have the discretion to determine how they would like their staff to report. Our agency is requesting staff report status on a daily basis.
If I am working part of the day and taking vacation the same day, how do I report that?
Pick the status where you spend the most hours of your work day.
If I am on vacation, do I still need to sign in and mark that am I out?
Update your status on the day you start vacation and then update again on the day you come back from vacation. If your vacation plan changes midway through your vacation, then please update your status to reflect that change.
If I am not working because it is my flex day or I am sick, do I still need to sign in and mark that I am out?
Yes, the procedure for reporting when you flex is similar to the call in procedure when you are sick. We ask that you take a moment during the day to indicate that you will not be in the office.
Why can’t you just use payroll data?
Payroll data is not real time as it is always two weeks after the fact (actual 3 weeks before we can pull the data).

When you complete your timesheet, please use the C19 statewide cost code appropriately. The following are examples from MMB of the types of costs to track:
- Staffing the SEOC or a COVID-19 related hotline
- Staffing one of the Governor’s COVID-19 workgroups
- Agency Command Teams and the Statewide Contingency Response Team (SCRT)
- Staffing the Redeployment Center, Priority Services Review Team, and similar efforts that support the COVID-19 response
- Preparing COVID-19 related communications to staff and customers
- Updating priority services documentation
- Establishing and managing new funding streams (state and federal)
- Responding to COVID-19 related questions from customers
- Responding to COVID-19 related surveys or requests for information
- Ensuring the health and safety of agency employees in response to COVID-19
- Processing of COVID-19 related unemployment claims
- Performing COVID-19 related medical services
- Setting up employees to telework
