Interagency customers are set up centrally by SWIFT Module Support. SWIFT stores customer information in both the Accounts Receivable and Billing modules. When invoicing an interagency customer, you must use the Customer ID from the existing customer record for your agency. Do not create a new customer account for your interagency invoices. If you do, the bilateral netting process does not work, leaving your invoice in an unpaid status.
If the invoice needs to go to a different address or contact, either update the customer account by adding a new address or create a customer contact and associate it to the original customer record. Again, you must not create your own interagency customer.

Help Desk Hot Topics feature Frequently Asked Questions (FAQs) answered by the SWIFT Help Desk. Use these as a friendly reminder of a process or as an opportunity to learn something new!
Question: The supplier offers discounts for early payment. How do I record that on a voucher?
A: Did you know that you can help the State save money! State agencies are required to take advantage of early payment discounts per the 0801-01 Prompt Payment Policy. Double check with your suppliers to confirm if they offer discounts for paying early. SWIFT offers a wide variety of pay terms that include discounts for paying early.
Enter the full amount of the invoice and choose the correct pay terms. For example, 2% 10/N30 provides a 2% discount if processed within 10 days or the full amount in 30. SWIFT displays the discount amount and discount due date on the payment information tab. Payments not processed in time to receive the supplier discount, pend for 30 days.
If the Pay Term doesn't appear in the voucher list, additional Pay Terms can be added by contacting the SWIFT Help Desk. For more information about payment process and scheduling, view the Date Definitions and Payment Processing Quick Reference Guide.

Get to know members of the SWIFT support teams who answer your calls, respond to your emails, and make sure you get the information you need. This spotlight is on Celia Magill-Cuerden. Celia is a training and development specialist on the SWIFT Training & Help Desk team at Minnesota Management & Budget (MMB).
What are you enjoying in your job so far?
For only being here 2 months, the work environment and my new co-workers have made me feel very comfortable and welcome. It is great to work with a team that is so knowledgeable and willing to teach others what they know so easily.
How long have you been with the State of Minnesota?
Prior to coming to MMB, I worked at Driver and Vehicle Services (DVS) for 8.5 years as a training and development specialist as well.
Fun Fact!
I love animals! Cats are my particular obsession, but all animals are just the best. The picture I’ve shared is from last summer when my wife and I went to an alpaca farm and took walks with them in the nearby forest, it was simply fantastic. Someday I hope to have a small hobby farm just to be able to enjoy having a variety of animals around all day, every day.
